POSITION: PERSONAL ASSISTANT TO CEO
REPORTS TO: HEAD OF PEOPLE & CULTURE
DEPARTMENT: OPERATIONS
BASED: GLASGOW, SCOTLAND
We have an amazing opportunity for a Personal Assistant to join our team in Glasgow, Scotland. Reporting to our Head of People & Culture with a direct line into our C-Suite, you will be the ambassador to our CEO for all internal and external stakeholders, and manage a range of critical business support duties. This is a fast-paced and high-volume role so we’re looking for someone who is passionate about working within the beauty industry and delivering exceptional support to our CEO. This requires a forward-thinker, multi-tasker and problem solver. Ultimately, it is your role to ensure our CEO is entirely supported, to allow them to lead and manage the continued evolution of our business in the most efficient and effective way.
ROLE RESPONSIBILITIES:
CEO Diary Management & Scheduling
* Provide comprehensive diary/schedule management for the CEO while also composing and coordinating internal and external communications on their behalf.
* Closely manage the CEO’s email inbox: proactively respond to queries, flag priority emails and chase actions/follow ups
* Proactively manage and plan out the CEO’s schedule; working closely with our Senior Management Team to ensure we pre-empt and prioritize business critical meetings.
* Assist the CEO with their personal appointments schedule; activities and other ad hoc tasks when required.
Travel Management
* Our CEO travels monthly, for events like retailers launches, conferences and interviews. You’ll manage and coordinate the CEO’s travel itinerary.
* Occasional travel may be required (potentially a few times a year) to provide dedicated support at major events and/or launches.
* Manage relationships with preferred travel suppliers for all travel booking e.g. flights, hotels and transfers.
Meeting Preparation & Support
* Review any relevant materials to ensure the CEO is briefed ahead of meetings on key information; this may include reviewing and conveying findings from commercial data.
* Organize and structure the flow of all information to the CEO as well as facilitate and ensure adequate preparation is complete for all internal and external meetings.
* Provide support and co-ordination for a range of meetings involving the CEO and Senior Team, ensuring supporting materials are distributed on time, coordinating attendee invitations, organising room/virtual bookings, catering and preparing meeting papers
* Attend meetings, take minutes and ensure actions and deliverables are agreed and shared amongst all attendees
* Compose and prepare presentations, proposals, letters, board papers and conduct research where necessary
PR
* Liaise with marketing and external agencies to support CEO with all personal branding Initiatives.
* Support with CEO online presence and social calendars
* Post approved content on behalf of CEO on external and internal channels
* Coordinate gifting
WHAT WE'RE LOOKING FOR:
* We are seeking an exceptional professional who thrives in a fast-paced and dynamic environment.
* This role requires a forward-thinking problem solver who excels at multitasking.
* Ideally, we’re looking for someone with some experience working in a Personal Assistant capacity; alternatively, we would consider someone working in hospitality or customer service facing roles who would love an opportunity to develop a career as a Personal Assistant in the beauty industry.
* Excellent communication skills
* Flexible, proactive and willing to learn
* Exceptional administration skills with excellent attention to detail
* Knowledge of MS Tools, and other software packages
