We’re looking for an Administration Officer / PA to join the team.
EXECUTIVE ASSISTANT
JOB DESCRIPTION
To assist in the administration and general office procedures of all things Wee Toast Tours – The leading drink and food tour operator.
JOB DUTIES
* Reception duties, including answering incoming calls and scheduling tours & events.
* Plan and book tour itineraries.
* Process tour payments.
* Follow up on phone calls and contacts as appropriate.
* Answer general emails & postal correspondence with customers and suppliers.
* Process & assess expenses and invoices.
* File & archive accurate records.
* Contact suppliers for orders etc.
* Arrange travel and accommodation plans.
* Organise & audit the company's systems, databases, and procedures ongoing.
* Assist in weekly and monthly reports for the directors.
* Provide administrative support for the directors as needed.
* Assist in the sale of tours.
* Coordinate with teams within Belfast & London.
* Events organisation.
* Adhering to GDPR compliance.
* Ad hoc duties - this is not an exhaustive list.
THE IDEAL PERSON
* At least 1 year’s experience as an administrative assistant or similar role.
* Travel & Hospitality experience preferred.
* Excellent organisational skills with the ability to multi-task.
* Awesome attention to detail.
* Strong written and verbal communication skills.
* Knowledge of office management systems and procedures.
* Proficiency in Microsoft Office (MS Excel and MS Word in particular).
* Book-keeping / Payroll Experience – ideally having used Xero before.
* Loves Food and Drink (because it’s what we do).
* Likes dogs, because Loki and Ruby would be your colleagues too!
* Good craic.
WORKING HOURS
Monday to Friday, 9am to 5:00 (FT/PT). We can be flexible with working hours.
