Job Title: Executive Assistant & Business Operations Support Reporting to: CEO Location: Hybrid Working (with occasional in-person meetings in Cambridgeshire or London) Contract Type: Freelance or Employee Contract Length: Fixed Term – 6 months Rate: £16.50 - £18.50ph (depending on level of experience) Working Hours: Part-time (15-20 hours per week) About the Role As the Executive Assistant & Business Operations Support, you will play a vital role in supporting the CEO of a Global Majority lead Organisation with both administrative and operational tasks, ensuring the smooth running of day-to-day activities and acting as a key point of contact for internal and external stakeholders. This role requires excellent organisational skills, attention to detail, and the ability to manage priorities effectively. You will provide diary management, correspondence, meeting preparation, and client liaison support. Additionally, this role will involve assisting with business operations, including project management, reporting, and helping to streamline processes to support the CEO in managing their time and operational efficiency. You will also support the LinkedIn activities, helping to maintain a professional presence and connect with key stakeholders discreetly. Occasionally, you will meet in person to provide direct support for meetings, events, or other key activities. As part of a small team, the role will focus on core priorities, ensuring the CEO has the support needed to manage their time effectively and deliver key organizational objectives. Key Responsibilities Administrative and Operational Support · Act as the first point of contact for the CEO, managing correspondence, emails, and phone calls. · Effectively manage the CEO’s diary, scheduling meetings, and ensuring deadlines are met. · Prepare meeting agendas, conduct research for meetings, and take minutes during meetings. · Join occasional in-person meetings in-person to provide direct support and feedback as required. · Remind the CEO of important tasks, deadlines, and commitments. · Book business travel arrangements and manage itineraries. · Proofread documents and prepare training materials. · Support the CEO with operational tasks, including creating and updating reports, tracking project progress, and following up with team members to ensure deadlines are met. Communication and Relationship Management · Communicate with clients, schedule meetings, and arrange meeting agendas. · Liaise with clients and respond to new business inquiries. · Maintain strong working relationships with external stakeholders. · Support the CEO during in-person meetings and events, ensuring all logistics are managed effectively. LinkedIn and Digital Presence · Assist with LinkedIn activities, including researching and drafting posts, monitoring engagement, and identifying networking opportunities. · Research and connect with key stakeholders on LinkedIn to support business development efforts. · Track LinkedIn engagement and provide insights to the CEO on potential opportunities. Project and Task Management · Creating and editing presentations and proposals using PowerPoint and Canva. · Manage projects and follow up with team members to ensure deadlines are met. · Assist with maintaining and updating CRM systems and project management tools. Miscellaneous Tasks · Handle ad hoc tasks as required to support the CEO in their role. Person Specification Essential Criteria · Proven experience as a Personal Assistant or in a similar role (2-3 years minimum). · Excellent organisational and time management skills, with the ability to prioritise effectively. · Experience supporting business operations, including project management and process improvement. · Strong communication skills across phone, email, and instant messaging platforms. · Familiarity with current technologies, including Teams, Canva, CRMs, and project management tools. · Proficiency in word-processing software and spreadsheets (e.g., MS Office). · Ability to research, digest, analyse, and present material clearly and concisely. · Excellent interpersonal skills, with the ability to build and maintain professional relationships. · A keen eye for detail and a commitment to accuracy. · Ability to work under pressure and meet tight deadlines. · Discretion and an understanding of confidentiality issues. · Self-motivated, with the ability to work independently and take initiative. Desirable Criteria · Experience managing professional LinkedIn profiles and using LinkedIn for business development. · Extensive knowledge of CRM systems and their role in client management.
