Operations Specialist:
This is an exciting opportunity to join an award-winning media production business. The company is currently working with exciting clients in the consumer space, from innovation-led start-ups to household names. The team are looking for an Operations Specialist who support the sales, production and finance functions, covering a majority of finance related duties. Experience working in a subscription business would be favourable.
Key Responsibilities:
Project Budgeting & Monitoring
* Support project budgeting to ensure accurate cost estimations.
* Monitor live projects, flagging potential budget variances, and facilitating prompt resolution with relevant teams.
* Coordinate with Finance to ensure timely and accurate invoicing.
Capacity & Cost Optimisation
* Maintain project budget trackers and capacity dashboards.
* Oversee contractor invoices, ensuring accuracy and proper processing in financial systems (e.g., Xero).
* Provide real-time capacity and cost reports, ensuring project workloads are optimised and cost overruns mitigated.
Operational Efficiency
* Manage and optimise subscriptions, equipment purchases, and operational costs.
* Maintain accurate records of invoices, receipts, and VAT.
* Ensure efficient usage of business platforms and troubleshoot as necessary.
HR & Administration
* Draft contractor agreements for review and oversee time tracking/reporting tools.
* Record absences and support the administration of HR processes.
* Manage access and security across key business platforms.
Ad Hoc & Period-End Reporting
* Assist with preparation of reports for internal and statutory accounts.
* Perform additional duties as required by the organisation.
