An exciting opportunity has arisen for a Practice Operations Manager at Lapworth Surgery in South Warwickshire.
We are a busy, forward-thinking general practice looking for someone with good NHS management and leadership skills to join our team to help us achieve our aims and objectives.
The successful candidate will join a friendly and dynamic Leadership Team to work alongside the Practice Business Manager and GP Partners to ensure support to the Practice team and management of the day-to-day running of our GP Practice; acting as a role model to staff and maintaining high-quality standards in line with our Practice values and behaviors.

Main duties of the job
HR
Operational HR lead for all staff. Manage staff performance via appropriate interventions, appraisal system, and regular meetings. Manage and oversee recruitment & retention of staff. Overall line management of staff. Ensure all staff are adequately inducted and remain appropriately skilled to carry out their duties.
Health & Safety Management
Maintain up-to-date knowledge of guidelines & legislation. Oversight of Infection Control & Health & Safety, carrying out regular audits to ensure compliance. Responsibility for maintaining and carrying out all building-related risk assessments.
Communication
Be the focal point of practice-level communication. Share information with all staff, patients, and wider stakeholders according to need.
Management
Provide operational management to the whole practice, providing support and direction to all staff. Monitor and evaluate staff performance ensuring it aligns to the practice's overall aims and objectives. Ensure CQC compliance, working with the registered manager and business manager to implement and embed practice policies. Ensure all team members have an annual appraisal and all have a regularly reviewed PDP.

Lapworth Surgery serves around 3,050 patients across a diverse population in Lapworth, South Warwickshire. We use a multidisciplinary approach bringing together 2 GP Partners, 1 Business Manager, Specialist Practice Nurse, Clinical Pharmacist, a Paramedic, Social Prescriber, Specialist Physiotherapist, and our non-clinical team to deliver an efficient and effective service, delivering the highest standards of patient care.
The practice achieves high QOF scores and is commissioned to provide a range of enhanced services. We are an active part of Arden PCN, sharing services and best practice.

Job responsibilities
The following are the core responsibilities of the Practice Operations Manager. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.
The Practice Operations Manager is responsible for:
* The day-to-day operations of the practice, ensuring staff achieve their primary responsibilities.
* Providing leadership and guidance to all staff ensuring that they adhere to policy and procedure at all times.
* Overseeing the administrative elements of QOF, including recalls, liaising with GPs, nursing staff, and administrators.
* Implementing systems to ensure compliance with CQC regulations and standards which are set by the business manager.
* Reviewing and regularly updating job descriptions and person specifications ensuring all staff are legally and gainfully employed, updated by the Business Manager.
* Acting as the lead for recruitment including pre-employment checks and DBS.
* Evaluating, organizing, and overseeing the staff induction programme.
* Implementing and embedding an effective staff appraisal process.
* Implementing and embedding an effective practice and staff development plan for all staff (clinical and administrative) whilst maintaining a robust training record.
* Implementing effective systems for the resolution of disciplinary and grievance issues, maintaining an overview of staff welfare.
* Leading the management of the clinical system, ensuring IT security and IG compliance at all times and responding to and resolving all local IT issues.
* Actively encouraging and promoting the use of patient online services.
* Updating and acting as the focal point for the practice website and social media sites.
* Guiding staff and developing searches and audits on the clinical system.
* Reviewing and updating clinical templates ensuring they relate to current practice with support from the business manager.
* Marketing the practice appropriately to ensure patient population is stable or increasing.
* Managing service contracts for and highlighting issues with services i.e., cleaning, gardening, window cleaning, etc. with the accounts manager.
* Guiding the team to reach QOF targets (supported by the nursing and administrative leads).
* Ensuring the staff implement the practice-wide approach to the management of all patient services matters.
* Managing DNAs, providing data and planning tools coupled with liaison with referred repeat offenders.
* Leading the management of the Patient Participation Group.
