Building Manager-Harlow Full time, Permanent
ROLE: You will overlook the entire management of a residential property building, consisting of private residential tenants.
You will be responsible for controlling budgets, increasing revenue, and handling the continued success of the business. The role will allow you to have autonomy in your day-to-day work whilst still having secure backing from Head Office and Senior Management. As a result, you must be an experienced, reliable, trustworthy Manager with a love for the property industry. You will have experience in a similar role and have working experience of working on a residential site. Ideally have an Institute of Residential Property Management Qualification (IRPM).
REPORTS TO: Regional Manager
REPORTS IN: Maintenance Operative, Residential Cleaner
SALARY: £30,000 to £35,000 per annum
HOURS: Monday - Friday, 9am - 6pm. Availability for Call Outs.
DUTIES INCLUDE:
* Managing site office
* Liaising with partner organisations
* Maintaining a safe environment with lighting, signage, and disability access
* Drafting and updating emergency plans and evacuation procedures
* Meeting tenants and coordinating move-ins / move outs
* Resolving issues pragmatically as they arise, ensuring strong procedures are in place to deal with various scenarios
* Investigating breaches in tenancy agreements, disputes, or complaints
* Supervision of Staff to ensure duties are carried out in accordance with job descriptions and contracts of employment
* Ensuring proper behaviour of all staff, implementing relevant training, and maintaining a professional appearance
* Instigating appropriate disciplinary action in consultation with Head Office as necessary
* Preparing staff rotas to ensure all shifts are adequately covered, including holiday and sickness cover
* Ensuring cleaning of communal areas is carried out in accordance with terms of reference
* Ensuring contractors complete jobs to a satisfactory standard and within specified timescales
* Ensuring compliance with Health & Safety, Parking, Disposal of Refuse, and Limitation of working hours
* Maintaining an approved Accident Book and ensuring all incidents are reported & investigated as appropriate
* Carrying out ongoing reviews of fire prevention matters and ensuring compliance with current legislation
* Testing the fire alarm system weekly and ensuring staff fire training is up to date
* Maintaining key control system for residents and building keys
* Keeping adequate records of residents, security issues, Health & Safety breaches, and maintenance schedules
* Maintaining contact with Head Office regarding emergencies, health and safety issues, and breaches of contract
* Conducting regular inspections (at least once daily) of the building to check maintenance, security, and Health & Safety issues
* Working closely with maintenance department to ensure quick turnaround on maintenance issues
* Ensuring checklists are followed for signing up and returning properties
* Ensuring valid Gas Safety Certificates, Electrical Certificates, and Energy Performance Certificates are on file
FINANCE:
* Overseeing financial performance of the portfolio to ensure low void rate and high collection rate
* Working with Credit Control and Accounts Team to ensure a high collection rate
* Acting in the best interests of the Company to maximise profitability of each property
* Estimating profit levels on all properties and ensuring deliverability with minimum back-end cost
* Liaising with accounts department monthly to establish arrears and collection rates
* Demonstrating a clear understanding of financial issues and their implications on the business
GENERAL:
* Contributing to the strategic direction of the company
* Carrying out specific tasks required by the Regional Manager
* Facilitating good relationships across all departments and sister companies
* Bringing significant changes in tenant or property owner relationships to the attention of the Regional Manager
* Demonstrating and encouraging a good team spirit and positive environment
* Being approachable and empathetic to sales, finance, and maintenance teams
* Maintaining responsible timekeeping
* Being available on weekends as required
