Overview
We are seeking a highly organised and proactive Director's Personal Assistant to provide comprehensive administrative support. The ideal candidate will possess exceptional phone etiquette, along with proficiency in clerical tasks. This role is pivotal in ensuring the smooth operation of the office, allowing the director to focus on strategic initiatives.
We are looking for 2 members to join the team.
Duties
1. Manage and maintain the director's calendar, scheduling appointments and meetings efficiently.
2. Handle incoming calls with professionalism, ensuring clear communication and appropriate follow-up.
3. Prepare and organise documents, reports, and presentations as required.
4. Assist with data entry tasks, ensuring accuracy and attention to detail in all records.
5. Maintain office supplies inventory and manage procurement processes.
6. Facilitate communication between departments and external stakeholders.
7. Utilise QuickBooks for basic financial tracking and reporting as needed.
8. Support various clerical duties including filing, photocopying, and scanning documents.
9. Organise travel arrangements, including itineraries and accommodations for business trips.
10. Cover duties when team members are on holiday.
11. Process orders and manage shipments.
Qualifications
- Proven experience in an administrative or personal assistant role is essential.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Excellent phone etiquette and interpersonal skills for engaging with clients and colleagues alike.
- Familiarity with QuickBooks is advantageous but not mandatory.
- Ability to work independently while also being a collaborative team player.
- Strong attention to detail with a commitment to maintaining high standards of work quality.

Working Hours:
Monday - Friday 9:00am - 5:30pm with a 30 min unpaid break.

Pay: £24,000.00 - £26,000.00 per year
