As we continue to grow, we are seeking a motivated and organised Office Administrator to support our operations and contribute to the success of our team.
Position Overview:
We are looking for an Office Administrator who will be responsible for managing the efficient dispatch of spares, parts, and accessories to our valued customers, along with managing stock levels, issuing invoices, and credit control. The successful candidate will also have the opportunity to grow into a senior role.
Key Responsibilities:
Customer Orders and Dispatch:
* Receive and process customer orders for spares, parts, and accessories.
* Coordinate the packing and dispatching of orders in a timely manner.
* Ensure that all products are shipped correctly and meet customer specifications.
* Communicate effectively with customers to provide updates on their order status.
Stock Management:
* Monitor stock levels and work with the team to ensure inventory is accurately recorded.
* Perform regular stock checks and identify any discrepancies.
* Raise stock replenishment orders and communicate with suppliers.
* Maintain an organised storage system for easy access and efficient order fulfilment.
* Maintain and update the online webshop.
Invoicing and Credit Control:
* Issue accurate invoices for orders in a timely manner.
* Track and manage customer payments, following up on overdue accounts as necessary.
* Assist with maintaining accurate financial records and assist in reporting for financial purposes.
Administrative Support:
* Provide administrative support to the General Manager and other team members.
* Assist with handling customer inquiries via email or phone.
* Ensure smooth day-to-day operations of the office, including filing, record-keeping, and documentation.
Process Improvement:
* Suggest and implement process improvements related to order fulfilment, stock management, and invoicing to increase efficiency.
Growth and Development:
* Demonstrate initiative and interest in learning more about the business.
* Take on additional responsibilities over time with a focus on leadership and strategic business management.
* Work closely with senior leadership to gain the skills and experience required for a senior role.
Requirements:
* Previous experience in office administration or a similar role.
* Strong organisational skills with a keen attention to detail.
* Ability to manage multiple tasks simultaneously in a fast-paced environment.
* Experience with stock management and order processing systems is an advantage.
* Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
* Strong written and verbal communication skills.
* Ability to work independently and as part of a team.
* Strong customer service mindset with a professional approach.
* A proactive attitude and willingness to learn.
* Access to personal transport.
* Experience in the world of rowing would be a plus.
* Knowledge of accounting software or CRM systems is beneficial.
* A demonstrated interest in leadership and business growth.
