SUMMARY OF POST
Maintaining trust homes and communal areas to the highest standard is critical to resident satisfaction and this role is pivotal to this. The candidate will be responsible for providing an excellent customer service to our residents in terms of planned and compliance programmes, engaging with residents in a positive and proactive manner. To ensure the effective delivery of our planned and compliance programmes in line with our policies and targets.
Key Tasks
1.1 Provide a positive image of HA to its residents, stakeholders and other relevant outside bodies
1.2 Deliver an excellent customer service to residents, contractors and the team, dealing with their queries and concerns regarding voids, planned and compliance works, and aids/adaptations
1.3 Oversee and manage the works processes from end to end through Plentific, Homemaster and/or any other system, providing monthly KPI reports on performance
1.4 Liaise with contractors, issue works orders and monitor the progress and quality of works, liaising with our residents and contractors to ensure work is completed to agreed standards. To chase outstanding works on a timely basis and report on contractor performance monthly
1.5 Administer and report on our compliance programmes, including gas servicing, electrical testing, water safety, asbestos and lift management, ensuring that accurate records are kept up to date and monthly KPIs are maintained
1.6 Support others to manage the works element of the voids process in respect of planned and compliance works. Liaise closely with others to minimise void loss
1.7 Administer any insurance claims, ensuring comprehensive files are maintained on all claims
1.8 Maintain the damp, mould and condensation register and ensure the process is complied with and residents are kept informed
1.9 Administer the FRA programme and any related action plans
1.10 Maintain all registers and action plans including the Asbestos register, EPC register and FRA action plan
1.11 Process all aids and adapts requests and grant applications as appropriate
1.12 Sign off invoices within agreed authorisation levels
1.13 Work with the Head of Property Services to monitor the planned repairs/ compliance and adaptations budgets
1.15 Regularly liaise with trust contractors in terms of managing programmes and performance
1.16 Provide cover for the Property Services team as and when required.
1.17 Liaise closely with residents on all planned programmes, ensuring they are engaged and consulted as appropriate on choices and appointments.
1.18 On completion of all planned works, send out a satisfaction survey and follow up, liaising with the RLO as required
1.19 Ensure KPIs are met, maintain records and provide performance information on planned repairs and compliance monthly.
1.20 Develop positive partnerships with internal and external partners/stakeholders to facilitate the effective delivery of day-to-day repairs and void properties
