About Pathway:
Founded in 2017, we work across multiple sectors, providing services to reduce the risks deemed most impactful to our clients. To date, we have worked in a variety of roles at some of the UK’s most iconic music and sporting events, for government organisations and major UK PLCs.
From our offices in the Cotswolds, we run a database of 800+ contractors (predominantly military veterans) and provide clients with specialist services including incident response and behavioural detection teams. We also provide commercial clients across the UK with crisis management and CCTV monitoring and response services.
Position Overview:
We are seeking a professional and experienced Administration Manager to lead all operational, logistical and office administration. The Administration Manager will support the Operations Director and Chief Operating Officer in the delivery of all Pathway operations and must have the ability to manage multiple administrative challenges simultaneously along with possessing exceptional communications skills.
This a hybrid role with a mixture of working from our Cotswolds office and working from home. There will also be an opportunity to attend events to support the Operations Director.
Roles and Responsibilities:
Pathway Recruitment Administration:
· Managing the recruitment process and contractor onboarding journey.
· Recording applicants from initial interest, translating into internal recruitment matrix, creating P-files and organising interviews.
· Creating database accounts for contactors who successfully pass the interview stage.
Venues and Events:
· Assist the Operations Director in event recruitment, using our internal software to advertise, record, create and regularly update live event nominal roles.
· Nominal role administration and event attendance cancelations, identifying and engaging with the reserve list to ensure all client schedules are met.
· Manage the creation and dissemination of individual event administration documents such as Event Arrivals Procedures and Event Admin Notices.
· Manage all event accreditation.
Monitoring and Response:
· Recruit task specific teams for response taskings.
· Manage third party installation administration.
· Manage long-term task manning and personal administration of those deployed.
Training:
· Manage training course recruitment.
· Control all course administration and logistics.
Office Manager:
· Support operational logistics.
· Lead on office logistics, meeting with contractors and booking maintenance.
· Own all day-to-day office administration.
Skills and Qualifications:
Essential:
· English as first language, proficient in giving verbal and written briefings.
· Level 4 qualification in relevant subjects.
· High-level of skill in MS Office: Word, PowerPoint and Excel.
· Exceptional communications and inter-personal skills.
· Understanding of IT based technical systems such as JotForm.
· Ability to work independently and often self-directed.
· Demonstrate an ability to prioritise time sensitive issues.
· Previous experience in an administration, HR or operations support role.
Desirable:
· Level 5/6 education qualification.
· Experience in LinkedIn marketing and advertising.
· Familiarity with operating systems: PARiM, Jotform, MailChimp, DocuSign and Monday.
· Familiarity with UK security operations.
· UK Military Background.
