Job summary
Lea Valley Health PCN is seeking a reliable, hardworking and motivated Assistant Operations Manager.
The postholder will provide day to day operational assistance to the PCN to support the coordination, planning and implementation of projects undertaken by the PCN.
The successful applicant will be well organised, have excellent written and verbal communication skills and be proficient in IT.
Main duties of the job
The postholder will provide high quality and efficient administrative services to the PCN including organising, attending and minuting relevant meetings.
To assist in the planning and implementation of various projects delivered as a PCN and assist with tracking the ongoing progress of any target-based work, disseminating the findings across the Practices in an efficient and timely manner.
To assist with all work relating to Covid vaccinations including planning clinics, inviting patients, managing stock levels and forecasting income.
About us
Lea Valley Health PCN has a patient population of approximately 32,000 across 4 practices – Cromwell and Wormley Medical Centres, Stanhope Surgery, Stockwell Lodge Medical Centre and High Street Surgery.
As a PCN we work collaboratively to provide an extended access service and delivery projects aimed towards improving patient care.
The successful candidate will work across all 4 Practices.
Job responsibilities
* To ensure provision of a comprehensive, high quality and efficient administrative service to PCN Executives and practice managers.
* To manage own day to day workload, ensuring that priorities are identified and dealt with and that problems are resolved as quickly as possible.
* To manage sickness forms, overtime sheets and monthly time sheets for PCN staffing.
* To extract data from the PCN clinical systems to track ongoing progress of target-based work.
* To help develop tracking tools to monitor ongoing work, ensure delivery of targets and present this information at monthly meetings.
* Disseminate any relevant information across the PCN team.
* To manage Clinical Directors' diaries, arrange meetings and take minutes for relevant meetings.
* To assist in coordination of projects throughout the planning, implementation and dissemination phase.
* Work with the PCN Clinical Directors and the Executive board for strategic and operational planning processes to support the PCNs objectives.
* To develop and promote good working practice, ensuring quality standards are met at all levels.
* Liaise with shareholder organisations.
* Support development of locality networks that deliver relevant change and improvement projects which can be both measured and evaluated.
* Organise PCN events e.g. Educational/Locality/Network wide events.
* To attend Covid meetings and keeping up to date on the relevant guidance relating to vaccinations and disseminate to Practices.
* Stock taking and ordering of Covid vaccinations to ensure Practices have the correct stock level for carrying out vaccination clinics.
* Be the point of contact for any Covid related queries for Practices.
* To extract Covid vaccination data monthly and provide the finance team with a forecast of expected income for each Practice.
Person Specification
Essential
* Educated to A level / NVQ level 3 or equivalent
* Experience of administrative duties
* Excellent communication skills (written and oral)

Desirable
* Experience of working in the NHS, particularly in primary care.
