Job Summary
We are looking for an enthusiastic, organised person to support the undergraduate team looking after the medical students on the QEH site for the role of Assistant Medical Education Officer.
Main duties of the job
This post will look after the day-to-day queries of medical students plus medical work experience students. Significant admin experience is required, and it is desirable to have previous experience working with students or in a hospital environment. The post holder will assist the Administrator in providing administrative support for all aspects of the clinical component of the MBBS programmes and its supporting structures. The appointee will also need to ensure all Lewisham & Greenwich NHS Trust (LGT) teaching is in accordance with either the University of London or Nicosia.
Job Responsibilities
To provide administrative support to the Medical Undergraduate Administrator with the preparation of agendas, timetables, student inductions, handbooks, and assignment schedules.
To check room bookings for teaching sessions, set up teaching sessions in person and virtually, and send reminders to speakers and students attending the sessions.
Assist with the organization and support of the OSCEs (objective structured clinical examination) and examiners and patient recruitment.
Assist with the provision of support for the development of the Student Selected Component programme, including assisting with the development and maintenance of the database and liaising with Medical School representatives as appropriate.
Assist with the organisation of schemes related to the academic performance of students, their personal wellbeing, illness, absence, or any other mitigating circumstances that may affect their participation/performance on the course.
Assist with supporting documentation and minutes for committees relating to the MBBS Programme and follow up action as required.
Assist with maintaining undergraduate electronic and paper records, including daily e-registers using the CAT system, and update the attendance spreadsheet daily, reporting on any non-attendance trends.
To enter data received from evaluation sheets onto a spreadsheet to allow the Medical Undergraduate Administrator to write appropriate evaluation summaries.
Provide a general enquiry service for all MBBS (Bachelor of Medicine/Surgery) students dealing with queries relating to their attachment.
Assist with the distribution of student lockers, ensuring records are kept of all allocations.
Assist with administration for medical work experience students and elective placements.
Support the postgraduate team as service needs require.
Qualifications and Training
Essential:
* Educated to GCSE/A Level standard or equivalent
Experience
Essential:
* Significant administration skills preferably in a hospital environment.
* Experience working with people at all levels, with the ability to plan, prioritise and organise workload.
Desirable:
* OSCE or exam facilitating experience.
Knowledge
Essential:
* IT skills/Microsoft (e.g., Word, Excel, Databases/Spreadsheets)
* Minute taking
* Numerate
