About the Role:
The Fleet and Facilities Assistant at St John NSW reports directly to the Technology & Facilities Manager. This dynamic role is responsible for supporting the Fleet and Facilities functions to ensure the provision of safe and cost-effective vehicle fleet and facility services that align with customer requirements and corporate objectives.
Working collaboratively within the Technology and Facilities team, the position plays a vital role in delivering efficient support services that include real estate and property, contractors, sustainability initiatives, finance, human resources (health, safety and well-being), procurement, operations, logistics and maintenance.
The Fleet and Facilities Assistant provides essential administrative, technical and operational support to St John NSW based vehicle fleet to ensure effective usage, compliance, and adherence to Fleet Management Policies, Procedures, and Guidelines in line with St John NSW and ensures compliance with New South Wales legislation.
Key Responsibilities:
Fleet
* Supervise the efficient transportation of goods by strategically coordinating vehicle dispatch and driver operations.
* Maintain meticulous records and oversee the management of logbooks, fuel consumption, maintenance, and repairs in partnership with drivers and the Technology and Facilities Manager.
* Implement and uphold robust data systems for comprehensive fleet management, safety inspections, incident reporting, insurance administration, and adherence to compliance protocols.
* Develop and execute the fleet budget plan, monitor expenses, and identify opportunities for cost optimisation.
* Ensure fleet operations align with environmental regulations and spearhead initiatives to instil eco-friendly practices within St John NSW.
* Define key performance indicators (KPIs) to measure and evaluate fleet performance, conducting insightful data analysis to drive continuous improvement.
Facilities
* Assist with vendor and contractor relationships, ensuring prompt delivery of services such as cleaning, repairs, and maintenance within the facility.
* Create, monitor, and close work orders for facility repairs and maintenance tasks, ensuring efficient completion and follow-up on any outstanding issues.
* Assist in overseeing inventory for maintenance supplies, equipment, and parts, maintaining optimal stock levels and procuring supplies as required.
* Conduct regular inspections of the facility, encompassing common areas, equipment, and utilities, to verify operational effectiveness. Report any issues to the Technology and Facilities Manager promptly.
* Maintain accurate records of maintenance activities, vendor contracts, and facility inspections. Prepare reports as needed by the Technology and Facilities Manager.
* Manage housekeeping tasks including recycling, WH&S audits/checklists for St John NSW office, branch and training centres, procurement of office supplies, and minor equipment.
Our Ideal Candidates will have:
* Proficient administration skills to maintain information systems effectively to achieve organisational objectives.
* Knowledge of fleet management procedures to maintain a safe, cost-efficient vehicle fleet.
* Demonstrated high level customer service skills to provide consistent, timely and accurate advice and service to internal and external stakeholders.
* Proven capability in operating and handling power tools competently.
* Meticulous attention to detail and ability to multi-task simultaneously.
* Strong team player and problem-solving abilities.
* Excellent interpersonal and communication skills.
* Hold a valid Australian driver’s licence.
