Overview
We require an experienced Site Administrator to provide a broad range of administrative support and coordination services to a busy operational site. The Site Administrator will be the key point of contact for meeting coordination, team support, and any ad hoc administrative tasks. They will be a professional administrator who works with integrity and discretion at all times.
Responsibilities
* Manage the day-to-day running of the site office
* General administrative duties as required by the Site Manager or Contracts Manager, including typing and distribution of meeting minutes and actions arising
* Conduct document control including creating packages, collating documents for the Site Team and assisting sub-contractors with queries
* Liaise with the Procurement department
* Manage anomalies and costs
* Report weekly and monthly data and information to site teams, key stakeholders, and partners
* Maintain a professional image for the company in all dealings with the public and stakeholders
* Other ad hoc duties that the Company may require from time to time
* Manage all correspondence in a proactive manner.
* Prepare meetings, prepare collateral, and wrangle the working group members to achieve their tasks.
* Undertake any ad hoc administrative tasks as requested.
* Maintain a log of messages and actions for review on a periodic basis.
* Take ownership of diary management and coordination with the business and external stakeholders.
* Arrange meeting rooms and room setups as required.
Experience
* Excellent interpersonal and organisational skills.
* Can clearly demonstrate a flexible approach to work.
* A strong track record of proactive diary management.
* The ability to utilise the full suite of Microsoft Office tools (Word, Excel, PowerPoint, Adobe, etc.).
* The ability to exercise the utmost discretion in dealing with sensitive data.
* Experience prioritising a range of activities or projects on behalf of an organisational leader.
* Familiarity with social media platforms and how to use them effectively.
Qualifications
Required Qualifications/Training
* Significant experience of working within the Construction Industry.
* ECDL, Pitman, or equivalent qualification.
Desirable Qualifications/Training
* A Business Administration or related qualification.
* Has a keen interest in the use of technology to improve efficiency.
