Job Purpose: Provide administrative support to the Engineering and Maintenance department within Estates and Facilities, reporting to the Operations Manager.
Key Responsibilities:
1. Answer calls, including emergencies, and raise maintenance requests in Planon.
2. Draft correspondence and provide general administrative support.
3. Maintain databases and spreadsheets, ensuring data accuracy.
4. Support document creation and control and manage shared resources on SharePoint.
5. Raise purchase orders and handle finance queries using Agresso.
6. Manage diaries, arrange meetings, and organize events.
7. Take and transcribe meeting notes.
8. Handle photocopying, printing, and document binding.
Qualifications and Skills:
1. Strong organizational skills and proficiency in Microsoft Office.
2. Excellent communication abilities.
3. Experience with database management and administrative tasks.
