Job summary
An exciting opportunity has arisen for an individual to join our Critical Care Service. We require an enthusiastic Electronic Rostering Co-ordinator for the Department of Critical Care based at Gloucester Royal Hospital (DCCG), there will be a degree of cross site working.
The successful applicant will work as an integral part of the DCC team. This post is for 13 hours a week over two days, it may be required that these days will differ each week. The post holder needs to be flexible to cover Monday - Friday.
Additional working pattern details: 2 x hours shifts per week, Monday to Friday, not fixed days, cross site working.
Main duties of the job
- The post holder will ensure all users of E-Rostering have access to accurate, fair working patterns, up to date rosters and ensure the timely opening of new rosters for staff requests. Ensure payroll is run on time with accurate information for substantive, bank and agency staff.
- Support the Ward Manager on duty ensuring staffing numbers on each shift are compliant and based on acuity and dependency. Assist with managing temporary staffing, communicating bank shifts and booking staff into shifts on E-Roster.

- Assist with admissions and discharges through the Critical Care by contacting and liaising with GHT bed managers, communicating issues with the DCC nurse-in-charge and Ward Manager on duty.
Shared leadership responsibilities with current post holder of the cross site ward clerks, co-ordinating their workload, supervising and conducting appraisals.

Job responsibilities
Assist in producing quality rosters, monitoring KPIs and taking necessary steps to improve and balance staffing number across Critical Care
- The ability to authorise annual leave when writing the Critical Care rota
- Independently send shifts to bank when nursing numbers are below minimum. E-mail and liaise with the bank office to request agency nurses as requested by the Ward Manager, escalating any issues as necessary
- Handover any relevant information, tasks to maintain an accurate E- Rostering service provision
- Monitor the e-mail in box for rostering and annual leave. Filter requests, agreeing to annual leave and shift changes within the DCC Standard Operating Procedure for annual leave and flexible working
- Act as first point of contact for staff users, deal with the telephone, e-mail and written communications for E-Rostering for DCC. Resolve day to day rostering issues efficiently and effectively within own skill set and escalate calls to the Ward Manager when required
- Verify shifts to ensure Payroll deadlines (weekly / monthly) are met and the submitting data is correct. Assisting staff with resolution of payroll queries
- Ensure that the inter-dependent relationship between E-Rostering system and Electronic Staff Register (ESR) is monitored. Reporting issues to the Roster Manager & Payroll Liaison Manager for Critical Care
- Annually assisting with annual leave requests for the new calendar year by filtering e-mails and populating the DCC annual leave spreadsheet
- Ensure that all new staff for Critical Care are correctly set up on the E-Rostering system and staff leaving Critical Care are removed from the rota
- Attend all roster creators / updates and attend GHT roster training via the rostering team
- Supervise and provide day to day support to the ward clerk team which this post holder has line manager responsibility for
- Ensure the provision of ward clerk cover for Critical Care at times of annual leave and sickness
- Demonstrate own activities to new or less experienced members of staff
- Manage the sickness absence of the ward clerks in line with GHT sickness policy
- Calculate the ward clerks annual leave and authorise booking of leave
- Complete variation and leaver forms
- Participate in the recruitment and retention of ward clerks within DCC
- Complete the induction of new ward clerks to Critical Care services, supporting their training as required for their new role
- Maintain your e-learning and mandatory training
- Ensure the data protection act are followed when dealing with sensitive and personal information
Person Specification
Qualifications, Knowledge and Experience
Essential
1. Educated to GCSE level grade C or equivalent in Maths and English
2. Working towards a Diploma or NVQ Level 3 in administration or equivalent experience
3. ECDL Holder or ability to demonstrate ability to use a wide range of hardware and software
Desirable
4. IT skills and experience including TRAC, EPR,, Health roster MS office and Trust internet
5. Excellent organisational skills to manage own workload
