The focus of this role is receptionist at our corporate office, and other admin duties will be undertaken during quiet times of the day. The ideal candidate should have excellent communication skills with a strong customer-facing/service background.
Key Responsibilities:
* Prepare artwork for business stationary, maintain/retrieve/update existing artwork. Recommend improvements and contribute to enforcing corporate branding.
* Undertake finishing tasks using a variety of equipment including binding, collating, stapling, folding, enveloping, and guillotining, also the pressure sealing of staff payslips in a secure environment in accordance with Data Protection Laws. Be competent with the operation and routine maintenance of all equipment used in relation to the corporate post, print, scanning, and indexing service.
* Undertake cash receipting, balancing & banking of income (cash & cheques) via the appropriate financial systems daily, in accordance with finance procedures, and investigate any payment to find correct account numbers via various systems if not provided – amounts up to £30,000 per day receipted.
* Maintain the security and confidentiality of all documents and information handled in the corporate post, scanning, and indexing in accordance with Data Protection Law ensuring that original documentation is returned to the customer.
* Provide a reception service in both Westfields HQ and Municipal Buildings for visitors, staff attending meetings, and general customer inquiries. Check staff ID badges and sign in visitors and contractors to ensure building security.
* Produce staff security identification badges for all employees/members and visitors including access rights to restricted controlled areas (i.e., CCTV) to ensure tight control for building security.
* Provide a corporate post and messenger service around corporate offices collecting and delivering mail to teams, ensuring all mail is franked out to each department for monthly recharges to be made.
Qualifications:
1. GCSE level qualifications, or equivalent, including English and Maths.
Skills & Experience:
1. Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organization.
2. Previous experience working in a post/print scanned environment.
3. Technical knowledge of post, print/reprographic, scanning, and indexing processes.
4. Customer service experience essential.
5. Strong IT skills including Microsoft packages or equivalent (e.g., G Suite).
