We currently have an opening in our Trustee Board for a Company Secretary to join our Board of Trustees to contribute to the essential behind-the-scenes activities that keep the Abbey Physic Community Garden going.
What difference will you make?
At the Abbey Physic Community Garden, we actively support people isolated by their mental or physical health, or social and economic disadvantage, and we give them a community to feel a part of. For many people it is a delightful destination during a pleasant day out. For others who take a different path to the Physic Garden, it is a far more meaningful place. The benefits that people gain include social connections, self-confidence, physical and emotional well-being, and not least the simple knowledge that people care for them. We work in partnership with many local groups and organisations. The Company Secretary plays a vital role on the Trustee Board, ensuring processes run smoothly and the charity complies with requirements of our regulators, ensuring the APCG continues to thrive.
What are we looking for?
1. Excellent organisational skills
2. Intermediate IT skills, including Word, Excel and PowerPoint
3. Diary management
4. Minute taking
5. Previous Trustee experience desirable but not essential
What will you be doing?
1. Maintaining an overview of our governance arrangements, including both those specific to APCG and the Charity Commission’s expectations of all charities
2. Ensuring that board meetings are properly administered
3. Ensuring other meetings, such as the AGM, and events are properly administered, taking account of requirements in our governing document
4. Planning and preparing the board meetings and the AGM with others as appropriate, including organising meeting dates, sending out notifications, minutes and other papers, working with the Chair to draw up agendas
5. Minuting board meetings (or ensuring that another minute taker is available)
6. Accurately recording decisions and actions in the minutes and tracking the implementation of actions
7. Working with the staff team to ensure there are accurate and up to date membership records
8. Ensuring that the requirements of Companies House are met (e.g. list of Trustees and annual confirmation statement)
9. Ensuring that the charity details are kept up to date and the annual return is made to the Charity Commission within the required timescales
