Your new role Responsible for the vehicle administration of the Alphabet Portfolio to optimise customer satisfaction and income growth. Tasks include but is not limited to: Vehicle Road Tax renewals/queries, customer motoring offences and vehicle related fines, managing customer fine rules, cherished plate transfers/retentions, V5 management, Travel abroad documentation (VE103), MOT reminders and escalations, Fuel card management and achieving agreed performance standards. Effective resolution or escalation of customer queries and complaints (receipt via phone or email), in a professional & timely manner. Processing DVLA letters and Debt Collector notices and fine disputes/appeals to eliminate any cost absorption by Alphabet; there is no targeted amount for the team however each executive is expected to contribute to the management of all cost absorption and the expectations are that income contribution to the business is in excess of c£50,000 Advisors are responsible for investigating supplier invoices, identifying and managing any inaccuracy’s within such invoices, and resolving queries including obtaining refunds. Verification of documents loaded, checking invoice figures match the quotation and system values, which can be in excess of £100k. Ensuring vehicle documentation shows the vehicle has been correctly registered to the Alphabet's registered address and fleet code. To check and ensure the registration date is within 3 months of the delivery date and to raise Asset Risk if this is not adhered to, and correct registration costs in relation to the regulations and government guidelines and the handover is signed and dated by the customer and/or customer nominated persons. Deliver as a team and support the dept/business with its objectives. Support team objective by cross-training and adherence to Skills Matrix measures and objectives. It is a requirement that individuals are able to work within all silo activities to a competent level and maintain knowledge in all team activities on a proactive basis. Provide advice to colleagues, internal & external customers and their employees, ensuring that a consistent approach is provided across the team in dealing with all enquiries. Management of the daily postal correspondence for fines, DVLA notices, cherished plate payments, and vehicle seizure notices in a timely manner to minimise escalation and take the appropriate action to resolve the issue at hand. Assist with reporting and updating of daily work logs, calendars and fleet lists. Negotiate and develop improvements to processes that will increase departmental efficiencies and increase income to Alphabet by way of either cost savings or service proposition enhancements that may drive income opportunities. Co-ordinate all return car tasks, ensuring that all vehicles are returned to the respective owners in line with agreed SLAs and any party incurs no unnecessary costs. Executives are responsible for delivery & achievement of all KPI requirements. Data integrity / Accurate Process / Customer Data, all elements of data processing and sharing of information must be done so within the governance and guidelines as directed by Compliance. Supplier management is fundamental to the role holder. Failure to monitor activity and work collaboratively with our suppliers could lead to debt enforcement concerns and reputation damage. Liaise and build relationships with Retailers (Preferred and Nominated), Brokers and 3rd Party Suppliers so that when goodwill or further assistance is required we are likely to be successful. The role holder is responsible for ensuring process & procedures adequately take into account our Consumer Duty responsibilities and that we have appropriate processes for identifying and ensuring good customer outcomes, including for customers with characteristics of vulnerability.
