This is a Project Management role within the Transformation Team for the trust within the Digital Projects and Change Team which focuses on delivering a variety of projects for the organisation, with a technical aspect.
The post holder will operate within a wider team providing professional portfolio, programme and project management services. They will be responsible for managing a number of Trust-led projects, working in partnership with the customer to provide a consistently high-quality service. The post holder will deliver projects on time, to budget and to agreed quality standards, supporting customer business needs. This will also entail leading on and being the technical resource for the team on products or being the contact with any 3rd party.
The post holder will be expected to manage projects using recognised methodology, demonstrating excellent risk management and financial control throughout. The role requires a professional project management approach that involves managing the project team where applicable and co-ordinating all project activities in accordance with the customer needs, supplier capability and local or standards and requirements.
Careful use of Trust systems both manual and electronic, to ensure accuracy of data.
Store and share information in accordance with department protocols, Trust Information Governance Policy and Data Protection Legislation.
The Trust’s Digital Project Manager will be part of the Digital Projects and Change team which co-ordinates the portfolio of projects for the trust and leads on IT strategy, development, co-ordination, planning, project and programme management for all IM&T supporting functions across multiple sites and for c5000 staff. This includes contract management, IT estate equipment and all IT services.
Leadership
The role of the Digital Project Manager is to manage a portfolio of projects for the trust and be part of the wider Digital Services team in its day to day operations providing a high-quality service; this will mean working with the Digital Services team to ensure delivery times and project schedules are defined and met. The postholder will need to achieve these objectives independently, and has significant discretion to determine the best way to carry out their work, working within broad occupational and Trust policies.
Provide quotes to users for costs of projects, from either the service catalogue or in liaison with 3rd party suppliers.
The post holder will be part of the core hub that will manage real time communications with customers on the current status of IT Projects, liaising directly with any other Informatics team as required.
Design & Delivery
Responsible for the planning delivery and organisation of projects applying appropriate methodology to control the project in line with departmental processes.
Responsibility for compliance with governance processes, DPIA’s etc.
To maintain an overview of your assigned work streams progress against plan, identifying risks, issues, dependencies and relationships between work streams; advising on and implementing appropriate mitigating and corrective actions or adjustments to the project plan.
Hold the budget for the project, manage resources, timescales and costs and provide regular reports to the Project Board and internal meetings including highlight and exception reports.
Maintain project risk logs and develop contingency plans for identified issues.
Act as an expert resource for queries on project implementation and processes.
Liaise with other project managers and team members to maintain awareness of the project and identify conflicting resources and scheduling issues and risks.
Support other team members in gaining knowledge and experience of project processes and tasks.
To contribute to the ongoing development and improvement of governance procedures with the Digital Transformation Team to ensure a professional standardised approach to project management services is implemented and maintained.
To handover documentation to the wider support team to manage the solution for Business as usual.
To lead on and manage the systems that have been delivered where applicable or liaise with 3rd party providers.
Interpersonal and Communication Skills
Establish credibility and confidence amongst clinicians, managers and other stakeholders, at all levels within and external to the Trust using specialist knowledge of services and best practice models to drive service change.
Capture the impact of change, encouraging collaborative working and motivating staff where there may be resistance to the change.
Deploy high level communication skills to ensure that all stakeholders are aware of objectives, developments and progress and directing the assigned staff where necessary.
Write project initiation documents, complex reports, and present these in a range of formal settings, when required.
Responsible for effective management of project meetings and the production of project management documents and reports on a regular basis, using digital tools.
Represent the Trust at external meetings regarding the project.
Forge and maintain relationships with a range of contacts across the local Trust, HSCIC, NHS England, and the wider NHS community to share knowledge and best practice to aid the project.
Research Analysis and Data Management
Management responsibility for accuracy, integrity and confidentiality of project records.
Use advanced IT skills to analyse complex data and information for reporting and to inform project decisions.
Evaluate the success of projects post-implementation.
Testing through the project lifecycle as required.
Support the provision of Digital Services to customers by managing Project escalations.
Liaising with the IT Operations Team.
Maintain professional links and working protocols with third party suppliers.
Engage effectively with trust customers, end users and other IT support staff to ensure project delivery.
To act as ambassador for the Digital Services communicating effectively and clearly; in a polite and courteous manner.
Communicating or requesting complex information in a manner that can be understood by all users.
Allocate work as required on a day to day basis to other members of the team and supervise their output.
Line manage the IT Project Manager and Digital Co-ordinator posts being responsible for all elements of line management for these posts.
