About the Role:
Reporting to the Controller, this newly-created position assists the accounting and sales teams. You will welcome visitors with a professional and friendly demeanor, and assist the accounting department while creatively assisting with our social media/communication initiatives.
This position offers a balance of structure and creativity, perfect for someone who wants variety and thrives in a collaborative environment.
Key Responsibilities:
1. First point of contact for visitors on-site
2. Maintain the front reception area and welcome display screen
3. Answer and transfer incoming calls
4. Follow up with managers to expedite the daily completion and submission of time sheets
5. Back up for preparing daily labour report/summary and labour distribution reports
6. Control and reconcile petty cash
7. Back up daily cash receipts and accounts receivable billing as required
8. Monitor and order office and kitchen supplies
9. Deposit and pick up mail daily, and facilitate the efficient flow of mail through the office
10. Document management such as filing, year end boxing of accounting records, shredding
11. Post notices as directed by General Manager
12. Coordinate meetings both for on-site and off-site locations
13. With guidance from the Sales Department, take photos of equipment, videos of projects, events, etc. to be used for social media content
14. Contribute to content creation and posting on social media and printed marketing material
15. Coordinate the supply and inventory of Hawboldt swag
16. Assist Sales and Marketing Departments, as required, in the preparation of marketing campaigns, trade shows, special projects, etc.
17. Participate on the Social Committee as Secretary
What You Bring:
1. Previous working experience applying basic accounting practices
2. Experience with creating and uploading posts for social media platforms
3. Proficiency in MS Office, especially Excel
4. Excellent communication and interpersonal abilities
5. Proven sense of urgency in completing tasks
6. Ability to work well in a confidential, fast-paced, time-sensitive environment
7. Strong organizational skills, the ability to prioritize, effectively manage assignments, and achieve deadlines
