Your role will be to work across the team which specialises in supporting Adults, Children and Families living with Autism, playing a fundamental role in the day-to-day delivery of the service provision. It is important that the postholder exercises initiative, works conscientiously and respects the confidentiality of information relating to clients and staff. The Team Assistant will provide efficient office support to ensure a seamless first point of contact. Opportunities will arise to meet the needs of the beneficiaries which will incorporate delivering community-based support services at a local level. The Team Assistant must liaise confidently with professional colleagues from Education, Health, Social Care and the voluntary and community sector. Facilitating and developing links to statutory and voluntary agencies for the benefit of Children, Young People and Adults with Autism or awaiting a diagnosis. Main Duties and Responsibilities: Staff and manage the referral line; acting as the initial point of contact which includes: Obtaining client details and brief outline of concerns. And ensuring that referrals meet the criteria of the service. Forwarding of referral information and related messages to the team. Inputting of referral information onto the database and processing documentation Provide service users with high quality, impartial and accessible information, advice and support that are appropriate to their needs, extend their knowledge and maximises their involvement in decision making. Inputting and navigating the database to record, collect and report crucial statistics To promote the service and ensure it is accessible to people living in the Borough of Telford & Wrekin through leaflet creation and distribution, organised mail shots, facilitate the use of social media as an information platform and website maintenance. To support the delivery of the All-Age Autism Hub which includes social events, community-based activity and workshops. Including the planning and facilitating tasks such as acquiring venues, making bookings and providing office support and administration needs for the project. Carrying out evaluation exercises with clients and professional colleagues. Working on case studies and sharing innovation to respond to feedback. Participate in the organisation and attendance at information days, community events, family sessions, drop ins, workshops representing the project and wider TWCVS organisation. Involvement in staff engagement/training sessions It is expected that the Team Assistant will carry out other reasonable duties from time to time as appropriate. The service operates a friendly, informal team. However, we aim to maintain the highest standards of service and efficiency. Experience of working in a small team in a busy office environment would, therefore, be an advantage. Support, supervision and training, where necessary, will be provided. Qualifications / Experience Evidence of a solid general education is required together with GCSE A-C / 9-4 or equivalent including English and Mathematics along with good keyboard skills and the ability to use Microsoft Office applications, i.e. Word, Excel, Outlook, Internet Explorer and an understanding or knowledge of Access. Hours of Work: Normal office hours are Monday to Friday 9.00 am – 5.00 pm. “Out of Hours” work and a flexible working pattern will be necessary. Time off in lieu can be arranged (overtime is not paid).
