Role Description We are seeking a dynamic and highly organised PA to Principal to join iBOS. This is a full-time, hybrid role that combines remote work with occasional on-site duties or event participation as required. The PA to Principal will provide high-level personal and executive administrative support to the Principal, ensuring the smooth running of daily operations and acting as a key point of contact between the Principal and internal/external stakeholders.
The successful candidate will be proactive, resourceful, and possess exceptional organisational and communication skills. They will play a vital role in supporting the strategic leadership of the school by managing the Principal’s schedule, handling correspondence, and assisting with various administrative tasks.
Key Responsibilities
Executive and Personal Assistance:
· Manage the Principal’s calendar, scheduling meetings, appointments, and events, ensuring efficient time management.
· Prepare meeting agendas, take minutes, and follow up on action points.
· Handle confidential correspondence, drafting emails, letters, and reports as required.
· Act as a first point of contact for the Principal, screening calls and managing enquiries.
Administrative Support:
· Organise and maintain electronic and paper filing systems, ensuring all records are accurate and up to date.
· Coordinate travel arrangements and itineraries for the Principal’s international engagements.
· Support in the preparation of presentations, reports, and other materials for meetings and events.
· Assist with event planning and management, both online and in person.
Communication and Stakeholder Engagement:
· Liaise with internal staff, parents, students, and external stakeholders on behalf of the Principal.
· Draft and circulate internal communications and announcements as directed.
· Facilitate communication between the Principal and the Senior Leadership Team (SLT), ensuring timely dissemination of information.
Project and Task Management:
· Support the Principal with special projects, including school initiatives, partnerships, and marketing campaigns.
· Monitor deadlines and follow up on outstanding tasks to ensure project milestones are achieved.
Hybrid Working Model: The PA to Principal role at iBOS operates on a flexible hybrid model, combining remote and on-site work:
· Remote Work: Daily administrative duties, virtual meetings, communication with stakeholders, and project support will primarily be conducted online.
· On-Site Requirements: Attendance may be required for key events, such as open days, conferences, or partnership meetings. Travel arrangements will be coordinated in advance.
· Regular virtual check-ins with the Principal will ensure alignment with daily and strategic objectives.
Qualifications and Skills
· Proven experience as a Personal Assistant, Executive Assistant, or similar role.
· Strong organisational and time-management abilities.
· Excellent written and verbal communication skills.
· Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
· Ability to handle sensitive information with discretion and confidentiality.
· Strong interpersonal skills and the ability to build positive relationships.
· Experience in an educational setting is desirable but not essential.
· A Bachelor’s degree in Education, Business Administration, or a related field is preferred.
