We are currently recruiting to a General Medical Administrator who will work across our administrative functions within the practice. This is a varied role and will suit someone who likes variety in their day-to-day work and is a keen learner. This position is open to applicants looking for both full and part-time hours. As a practice, we are now open on Saturdays (9am-5pm) and on Monday evenings until 8pm to provide an extended access service to our patients - these hours will be part of your working week.
Main duties of the job
The role will include reception work involving answering telephones, booking appointments, providing a front desk reception service, and working to protocols to advise and signpost patients for their care. It may also involve handling patient referrals, insurance reports, as well as more non-departmental specific administrative tasks.
The ideal candidate will need to be proficient with IT and have a kind and caring manner as the role will involve contact with our patients. Previous experience in a GP Practice is ideal; however, training will be provided regardless.

Job responsibilities
To be responsible for undertaking a wide range of administrative duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to:
1. Greeting and directing patients.
2. Effective use of the appointment system.
3. Booking appointments.
4. Processing of information and assisting patients as required.
5. Providing administrative secretarial support.
6. Acting as the central point of contact for patients, the distribution of information, messages, and enquiries for the clinical team.
7. Liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.
The following are the core responsibilities of the role. There may be an occasional requirement to carry out other tasks; this will depend upon factors such as workload and staffing levels:
1. Maintaining and monitoring the practice appointment system.
2. Processing personal, telephone, and e-requests for appointments.
3. Answering incoming phone calls, transferring calls, or dealing with the caller's request appropriately.
4. Signposting patients to the correct service.
5. Initiating contact with and responding to requests from patients, team members, and external agencies.
6. Supporting the management of repeat prescriptions, ensuring they are processed accurately and efficiently.
7. Actioning incoming emails when necessary.
8. Photocopying documentation as required.
9. Data entry of new and temporary registrations and relevant patient information as required.
10. Inputting data into the patient's healthcare records as necessary.
11. Providing administrative support for information requests i.e. SAR, insurance/solicitors letters and DVLA forms.
12. Managing all queries as necessary in an efficient manner.
13. Carrying out system searches as requested.
14. Maintaining a clean, tidy, effective working area at all times.
15. Supporting all clinical staff with general tasks as requested.
