Job Title: Wedding and Events Coordinator Reports To: Sales and Events Manager Employment Status: Temporary Maternity Cover Salary: £12.00 – £12.42 per hour DOE Hours of work: 40 hours per week Who are Forbes of Kingennie? What will you be doing? Do you have a passion for creating unforgettable moments and ensuring every detail is perfect? Forbes of Kingennie are looking for an enthusiastic and organised individual to join the team on a temporary basis in the role of Wedding and Events Coordinator. Working as part of our Events team you will assist the Events Manager with the planning of events, ensuring every element from the initial meeting to the event itself runs smoothly, coordinating effectively all details. Key Duties and Responsibilities include: 1st point of contact: You will respond to all events enquiries to the resort, ensuring the required paperwork is completed and followed up in a timely manner More than just ‘I do’: Beyond weddings, you will assist with organising a range of events, including corporate bookings, conferences and special events. Seamless event management: You will oversee the day-to-day operations in events and ensure all event briefs are met. This includes managing all areas of the event room at all times. Making sure the bar is set up, stocked and clean at all times and it is closed down at the end of an event. Creating memorable moments: You will assist in the management of all wedding bookings including arranging tastings for wedding parties and liaising with suppliers including the registrar office. Wedding Fayres: You will help to organise each Wedding Fayre, sourcing suppliers to showcase and collating information on timings. Quick Thinker, Problem Solver: You will handle customer inquiries, feedback and any customer service issues by passing information on to senior levels where necessary. Stay Informed: You will maintain knowledge of all promotions happening within the resort The important parts: You will issue paperwork including contracts and confirmation in relation to all events. You will also process event payments, sending out receipt letters and issuing reminders when payments are due. Building relationships: You will develop and maintain relationships with all departments within the company to ensure there is a good flow of communication and understanding of customer expectations to ensure that service meets expectations. Safety First: Ensuring regulations relating to health, safety and the environment (HSE) set out by the Events Manager are adhered to. Teamwork for success: You will monitor staff performance and conduct, reporting any areas of improvement required to the Events Manager. This is an excellent opportunity for an individual with previous experience in event planning, although experience with delivering weddings is not essential. A full, clean Driving Licence is preferred, however, not considered essential. What we offer?
