Job Overview
The PA will support the Director of Finance providing operational support and coordinating a range of activities for the Finance, Corporate and Commercial Directorate, including:
* Providing administrative support and diary management to the Director of Finance.
* Coordinating activities for Finance, Corporate and Commercial (FCC) Directorate.
* Developing and maintaining systems and administrative procedures to support Finance, Corporate and Commercial and wider NICE initiatives.
* Administratively manage project specific activity to meet the business needs of the Finance, Corporate and Commercial Directorate.
Main Duties of the Job
* Managing the Director of Finance’s diary and email including coordinating and scheduling appointments and meetings, triaging and responding to emails, event management and booking, managing travel arrangements.
* Coordinating and supporting in-person, virtual and hybrid meetings and other events relating to the FCC Directorate.
* Coordinating corporate activities such as managing corporate reporting timelines.
* Providing administrative support across the Directorate including arranging the FCC senior leadership meetings and Directorate all staff meetings.
* Working closely with EAs and PAs across the organisation to make the most of opportunities to collaborate and share knowledge and good practice.
* Looking proactively for opportunities to make improvements and be more efficient in own day-to-day work and the work of the Director of Finance and the senior team.
* Gathering and analysing data and producing reports and presentation slides.
* Developing and maintaining databases and other records systems.
* Providing advice and guidance to internal teams and external stakeholders on enquiries relating to the work of the Directorate.
* Managing the payment of invoices.
* Supporting recruitment activities in the Directorate.
* Contributing to the procurement, awarding and management of contracts.
* Supporting business continuity planning in the Directorate.

Person Specification
Education/Qualification
* Relevant first degree, basic professional qualification, NVQ Level 6, or equivalent qualification (e.g. non-English qualification) or equivalent level of knowledge acquired through experience and further training/development.
Experience
* Experience of providing diary and email management and administrative support to senior members of staff.
* Experience of planning and completing multiple tasks with competing deadlines.
* Experience of monitoring budgets, processing contracts and/or supporting HR and recruitment activities.
Skills/Knowledge
* Ability to communicate confidently and deal effectively with individuals at all levels both within and outside the organisation.
* Ability to deliver work to a high standard within demanding deadlines.
* An understanding of the social, political, economic and technical context within which NICE operates.
