Corporate Receptionist
Based: On site Rolls-Royce Warrington
Total weekly hours: 19
Schedule: Wed 12pm – 5pm, Thurs 8am – 5pm, Fri 8am – 2pm
What this job involves:
As a Part Time Corporate Receptionist at JLL in Warrington, you'll play a crucial role in shaping a brighter way for our client Rolls-Royce and fellow employees in the UK. The key focus for this role will be to create a single and visual point of contact for client visitors and employees and to act as the primary interface between the internal operations of stakeholders and its clients. Providing services to the highest possible standards as well as representing the client (Rolls-Royce) and JLL values in appearance, presentation and manners.
What your day-to-day will look like:
* Ensure all guests receive an excellent welcome and consistently deliver a great service, portraying a friendly, professional and courteous demeanour always.
* Deliver Health and Safety and building information to guests, including evacuation procedures upon arrival and HSE inductions.
* Familiarize yourself with office day-to-day operations and manage events as they arise.
* Obtain knowledge of all key stakeholders and how they support the day-to-day operations of the office.
* Report any maintenance, IT or Health and Safety concerns and assist with the safe closure of events.
* Undertake the role of fire marshal and support the Health and Safety Directorate.
* Manage the security needs of visitors and liaise with the Security Department.
* Support the Facilities Manager in ensuring that all security requirements are adhered to.
* Process meeting room requests and manage conflicts where necessary.
* Book car parking spaces for visitors and manage the car parking database.
* Assist with desk booking queries and undertake Administration for the desk booking application.
* Use Excel and Word documents to input data and generate reports.
* Assist the Facilities Manager with ordering equipment and services for the office.
* Support with catering requests and manage the delivery and setup for meetings.
* Manage guest complaints and provide swift solutions or escalate as necessary.
* Ensure professional telephone and email etiquette is adhered to.
* Manage all mail and courier services.
* Set meeting rooms to 5-star standards and complete departmental checklists.
* Provide support to visitors and employees with AV equipment.
* Communicate effectively with other departments and residents in the building.
* Participate in appropriate training to operate and fulfill responsibilities.
* Assist in any other reasonable duties as required.
Required Qualifications:
* Minimum of 1 year experience in a receptionist or customer service role
* Proficiency in Microsoft Office Suite
* Excellent verbal and written communication skills with a strong command of English
* Strong organisational and multitasking abilities
* Professional appearance and demeanour
* Ability to work independently and as part of a team
Preferred Qualifications:
* Experience in a corporate office environment in the UK
* Knowledge of visitor management systems
* Experience with handling confidential information
* Familiarity with basic office equipment and technologies
* Flexibility to occasionally work extended hours if needed
