Your responsibilities will include: Processing customer orders & maintaining records: Input and verify customer orders, ensuring accuracy, and maintain up-to-date customer records and accounts. Raising sales invoices & processing purchase invoices: Generate and send sales invoices, while reviewing and processing supplier purchase invoices. Taking card payments: Process secure card payments over the phone and in person, ensuring accuracy and confirmation. Ensuring payment accuracy: Verify payments, amounts, and records to ensure correctness and reconcile discrepancies. Managing daily communications & customer queries: Respond to customer inquiries promptly via phone, email, or in person. Entering employee timesheets & managing labour costs: Input employee hours into the system to track labour costs and ensure accurate records. Filing & maintaining documentation: Organise and maintain physical and digital filing systems for easy access and compliance. Controlling credit & chasing debt: Monitor accounts for overdue payments, manage credit limits, and follow up on outstanding debts. Supporting VAT returns & bank reconciliations: Assist in preparing VAT returns and reconciling bank statements with accounting records. Supporting month-end reporting & management accounts: Help gather financial data, assist in month-end close, and support the preparation of management accounts. What we’re looking for: Attention to Detail: Accuracy is crucial when processing invoices, handling payments, and managing financial records, ensuring all transactions are completed correctly and efficiently. Organisational Skills: Ability to manage multiple tasks, maintain accurate records, and keep filing systems organised in both digital and physical formats to provide a seamless experience for internal and external stakeholders. Problem-Solving Ability: The role may require resolving discrepancies in payments, invoices, or customer accounts, so the ability to quickly identify and solve problems while maintaining a customer-focused approach is essential. Proactive: Taking initiative to monitor accounts, chase overdue payments, and assist with cost control projects or contract renewals, all while maintaining positive customer relationships. Adaptability: The ability to manage ad hoc projects and adjust to changes in a fast-paced, dynamic environment within the renewable energy sector, ensuring customer needs are met efficiently. Customer Service Excellence: Providing clear, professional, and friendly communication with customers and colleagues, ensuring any financial queries are handled promptly and effectively.
