Mental Capacity Act & DoLS Team Administrator
The role will be required to provide effective administrative support to the Mental Capacity and Deprivation of Liberty Safeguards (DoLS team) at Somerset NHS Foundation Trust.
The primary purpose of the role is to ensure that activity in relation to DoLS across the trust is accurately recorded and monitored, and that our statutory notification duties are met. A range of other administrative tasks to support the team's work will also be required.
Main duties of the job
1. Enter data from referrals made by the trust quickly and accurately into spreadsheets. Use an online portal to record outcomes of referrals.
2. Liaise with partner organisations to make sure records of incoming and outgoing referrals align. Ensure follow up where needed.
3. Generate data from spreadsheets using filtering and graphs to support the team's work.
4. Manage the single point of contact inbox and deal with day-to-day correspondence, initiating appropriate responses to provide staff and other parties with required information in a friendly and professional manner. Filter messages on behalf of members of the team, taking appropriate action where necessary.
5. Support the wider work of the team via a range of other tasks such as training support, maintaining our intranet resource pages, development of learning materials for staff, etc.

Person Specification
Qualifications
* Relevant qualification to vocational Level 3 or NVQ3 or RSA3 secretarial/administration, or equivalent experience.
Experience
* Experience of working in a large organisation.
* Experience of working within the Health or Social Care system.
Additional Criteria
* Fully conversant with using a range of standard IT packages, including Word, Excel, PowerPoint, and databases, Microsoft Teams.
* Enthusiasm and ability to learn about the Mental Capacity Act 2005.
* Enthusiasm and ability to understand the Deprivation of Liberty Safeguards legal framework and to locate team processes within this.
* Able to exercise judgement in identifying various legal scenarios and accept guidance from team lead and colleagues where necessary.
* Able to describe processes and legal expectations in everyday English to various colleagues across the trust.
* Able to demonstrate a high standard of written and spoken English.
* Ability to work closely and collaboratively as part of a small team.
* Able to provide and receive complex and sensitive information.
* Able to prioritise workload and competing demands.
* Due to the unpredictable demands of the role, the ability to change from one activity to another quickly.
* Willingness to use technology to improve standards of care and support to our patients.
* A working knowledge of hospital systems and electronic health records.
* Understanding of issues relating to the Mental Capacity Act 2005 and its application within a healthcare setting.
