JOB TITLE: Customer Services Administrator
REPORTS TO: Head of Sales
JOB TYPE: Permanent – Full Time
WORKING HOURS:
Monday to Thursday: 9am-5pm
Friday: 8am-3pm
SALARY: £26,000 - £30,000 per annum (DOE)
LOCATION: 4 Portna Road, Rasharkin, Ballymena, Co. Antrim, BT44 8SX
About The Role
JOB PURPOSE
As a Customer Services Administrator, you will play a critical role as the primary contact between external customers and the company, ensuring cohesive communication and exceptional service.
DUTIES/RESPONSIBILITIES
1. Process customer orders efficiently, ensuring accuracy, timely fulfilment, and smooth delivery.
2. Be the first point of contact for customers, handling queries and resolving issues professionally.
3. Monitor order performance, tracking key metrics such as order accuracy, fulfilment rates, and delivery timelines, while identifying areas for improvement.
4. Provide reports on order performance, offering insights to support decision-making and service enhancements.
5. Collaborate with internal teams to resolve order-related challenges and drive efficiency.
6. Keep customers informed with timely updates on order progress, potential delays, and delivery schedules.
7. Identify and implement ways to enhance our service, ensuring a better customer experience.
8. Support the Sales Team in preparing quotations and ensuring all relevant documentation is in place.
Education Attainments
* Maths and English Language Grade C or above (or equivalent)
* Customer service or management certifications (e.g., NVQ, ILM)
Job Experience and Training
* A minimum of 1 year’s experience in a Customer Service position
* Able to liaise with departmental leads to ensure we are meeting our customer service SLA’s
* Experience in a manufacturing or logistics environment
Specialist Knowledge
* Experience in customer service operations in a fast-paced environment with an emphasis on timely resolution and customer satisfaction
* Familiarity with ERP systems for order management and recording customer interactions
Special Skills / Aptitudes
* Able to multi-task and work in a dynamic environment/adjust to change quickly, with the ability to prioritise effectively
* Excellent communication skills with the ability to manage relationships
* Strong planning and organisational skills
* A passion for customer service
* Good interpersonal and communication skills
* Computer proficiency, including Email and MS Office (Word and Excel)
* Demonstrated ability to remain calm in challenging situations while employing strong problem-solving skills
* Good attention to detail and ability to maintain accuracy
* Strong leadership skills
