The Position
A Credit Control & Legal Administrator forms part of our in-house Property Management team and works alongside the wider accounts department, as well as our Property Managers.
A Credit Control & Legal Administrator is responsible for recovering funds from outstanding payments from leaseholders and issuing legal documents while partnering with the wider service charge accounts team.
This position is based in our Head Office in Loughton, Essex, five days per week. The working hours are 09:00am to 17:30pm Monday to Thursday, with a shorter workday of 09:00am - 17:00pm on Fridays.
Duties include but are not limited to:
Chase debtors by phone & email and arrange payment plans & ensure all sites are covered.
Produce instructions to debt recovery and ensure follow ups and enquiries are responded to.
Liaise with other teams within the company, our Accounts, Sales, PMs & Concierge.
Take telephone card payments and allocate payments to the system.
Process daily receipts and follow up on any unposted items.
Prepare and issue LPE01 Legal Packs and enquiries.
Produce licenses e.g. parking licences or pet permits.
Liaise with solicitors over change of ownership of leasehold properties, chase relevant documents, process Notices of Assignment and Notices of Charge, update systems with change of address, telephone numbers and/or email addresses and support the team where needed.
Carry out general administrative duties including answering the telephone, responding to queries from leaseholders and residents, obtaining Land registry documents, Building Safety Act & LL Certificates.
The Person
A Credit Control & Legal Administrator will be a detail-oriented and highly organised professional with a good understanding of credit control processes. They should possess excellent communication skills and the ability to manage multiple tasks efficiently. A Credit Control & Legal Administrator will thrive in a fast-paced environment and will also meet the below criteria:
Essential:
An understanding of leasehold properties.
Previous experience operating as Credit Controller or similar.
Excellent communication skills across face-to-face, telephone, and email interactions, with a professional approach.
Demonstrable ability to build relationships and influence stakeholders at all levels.
Proficient in basic Microsoft packages including Word, Excel and Outlook with the ability to learn new systems as needed.
Exceptional administration skills, with strong attention to detail and accuracy.
Excellent organisation, prioritisation, and time management skills.
Desirable:
Some understanding of the relevant Leasehold, Landlord and Tenant Act.
