Purpose of Role
We are recruiting for an Assistant Facilities Manager to provide operational facilities support at Medway Police Station.
Job Description
The Assistant Facilities Manager will be responsible for supporting the Facilities Manager with the delivery of Hard and Soft service streams and effectively coordinating all operational administration such as helpdesk, logging jobs, interacting with engineers/contractors, HSE site walks, invoicing and reporting to prove compliance against contracted SLA/KPI’s. This is a development position which supports the leadership team and helps improve our efficiency of delivery - it’s a great opportunity for someone with facilities experience to develop their skillset towards becoming a future Facilities Manager.
Responsibilities
1. Managing CAFM system (Maximo) and the management of all planned and reactive works against contractual clauses to avoid performance deductions.
2. Upload documents and manage document compliance for reactive and PPM tasks on Maximo and Sharepoint.
3. Actively support with subcontractor management (scheduling, induction, safe working, monitoring, escorting) for reactive, PPM and additional works including damages, small works, variation and lifecycle works.
4. Support Project Manager compile monthly client performance report, CAFM helpdesk reports and appendices.
5. Actively manage the cleaning service contract ensuring KPI compliance including cleaning site audits with service provider.
6. Provide helpdesk cover when Facilities Coordinator is absent.
7. Support Project Manager with all internal and external audits.
Essential Qualifications/Skills
1. A good understanding of facilities management.
2. Experience of managing sub-contractors and cleaning service.
3. Excellent communication skills.
4. Adept client-partnering skills.
5. Familiarisation with Maximo CAFM (or similar).
6. Proven IT skills (Outlook and basic data management).
