A new and exciting secondment opportunity in the Cardiac Centre has become available at Luton and Dunstable Hospital. We are looking for a highly motivated and professional band 4 administrative staff, who possess the enthusiasm and commitment to be part of the developing and motivated cardiology administration team. This secondment opportunity is open to experienced administrative staff who have substantial administrative experience. This role requires exceptional administrative, organisational and communication skills. We are looking for an enthusiastic, compassionate and motivated individual who is committed to delivering a high standard of service in our busy but friendly unit. The post holder will work closely with the multidisciplinary team including Consultant Cardiologists, Service Manager, Nurses, Radiographers, and Cardiac Physiologists. As a vital member of our team, we want to be able to support you in this role and help you develop. To achieve this we will provide unit-based training. Main Duties of the Job
1. Assist the clinical coding department by ensuring the production of time coding lists for all patients treated in the Cardiac Centre.
2. Ensure patient notes are maintained and filed in accordance with the Trust policy and are available to clinicians when patients attend the Cardiac Centre.
3. Ensure all patient notes are secure and accessible when kept in the Cardiac Centre and are booked in and out of the Trust's notes tracking system.
4. Input data quickly and accurately onto local and national database in line with requirements and produce timely and accurate reports as required.
5. Respond appropriately when acting as the initial point of contact for complaints from patients/ relatives and staff attempting to resolve issues within the department using a tactful and sensitive approach, referring to Clinical Team or Senior Nurse as appropriate.
6. Ensure all staff adhere to guidelines for waiting list management.

Job Responsibilities
Quality and Effectiveness
1. To assist in the monitoring and reporting of clinical efficiency within the Cardiac Centre, i.e., outpatient waiting times and local and national targets.
2. Make recommendations for any changes in practices and systems within sphere of responsibility, leading on their implementation in conjunction with the multidisciplinary team within the Cardiac Suite.
3. Contribute to service developments within the Cardiac Suite and assist the clinical team in implementing the.
Organisational Responsibilities
1. Organise own workload effectively to facilitate the provision of a timely and efficient service.
2. Recognise and maintain involvement on patient experience data feedback, reporting to Senior Nurses where appropriate.
3. In collaboration with other key staff in the division and directorate, maintain effective use of bed availability by timely and effective admission and discharge planning.
Resource Management
1. To assist the nursing team in liaison with the Bed Manager to assess inpatient bed availability for certain cardiac suite procedures and ensure that all relevant staff are aware of the bed management issues prior to the beginning of relevant cases, negotiating with all staff groups as necessary to ensure patient safety.
2. In conjunction with other senior team members, responsible for ensuring clerical equipment is properly used and maintained.
3. Responsible for ensuring clerical stock levels within the cardiac centre are well maintained.
4. Responsible for ensuring that clerical supplies are used appropriately and resource wastage is prevented.
Education and Training
1. Identify and undertake an individual personal development plan for self, which will be supported with the annual appraisal process.
2. Responsible for ensuring all individual mandatory training is up to date and identifying any new areas for training that will benefit the department.
Person Specification
Qualifications
* NVQ 3 in Administrative work or previous experience.
* Evidence of ongoing professional development.
* Customer service or business administration qualification.
Experience
* Experience/understanding of waiting list management.
* Experience of working with a range of computerised software.
* Demonstrable administrative experience including management of appointments and diaries and handling telephone enquiries.
* Experience of database management systems and data analysis.
* Previous work within a busy and fast-paced acute environment.
* Multidisciplinary team working within an NHS environment.
* Audit and evaluation.
Knowledge and Skills
