Duties & Responsibilities
As a Recruitment Specialist at Safe Places, you will be required to action the following:
1. Support the candidate attraction process by preparing and formatting job descriptions and profiles, setting up adverts on our e-recruitment system and making adverts ‘live’ within the agreed timeframe;
2. Ensure the relevant external recruitment advertising takes place in a timely fashion by uploading adverts;
3. Source applicants through online channels, such as LinkedIn and other professional networks as agreed with the organisation strategy recruitment plan;
4. Collaborate with hiring managers to set qualification and experience criteria for future employees and update relevant marketing and required material;
5. Undertake screening of applicants, conduct phone interviews screening and participate in the face-to-face interviews with potential candidates in regards to all recruitment activities;
6. Be the first point of contact for candidate queries and other incoming queries in a timely manner via email, phone or in person, providing useful information and ensuring there is a resolution, escalating the query to the recruitment co-ordinators when necessary;
7. Support the candidate selection process by arranging interviews and sending confirmations to applicants, compiling interview paperwork for the panel such as tasks and questions, corresponding with candidates on the outcome of applications/interviews including updating statuses on the portal and to chase and upload interview notes/feedback;
8. Support the onboarding process with applying for and chasing references. Identify any gaps in candidates’ applications such as references and liaise with them to get this rectified;
9. Prepare and order goods for marketing and job campaigns. Attendance in job fairs, campaigns or events is important to promote the recruitment campaigns and to seek suitable candidates;
10. Conduct and collate research, which will enable us to stay at the forefront of recruitment and talent management within our sector and be an employer of choice;
11. Use the correct branding throughout all recruitment activity both internally and externally. Undertake filing on a regular basis and any archiving when necessary;
12. Ensure that all correspondence and documents created are saved correctly on our HR Platforms in a logical and structured fashion;
13. Assist with any ad-hoc projects as and when required;
14. Attend all relevant recruitment team meetings and provide input into discussions and future recruitment plans. Undertake the notes for such meetings and follow up on agreed actions;
15. Handle all incoming calls in a professional and efficient manner ensuring that all phones are answered and messages taken and passed on as necessary people within the support office for recruitment needs;
16. Ensure that all aspects of data protection and confidentiality are maintained at all times;
17. Identify any improvements that will allow us to undertake administration in a more efficient and timely fashion in the future for recruitment matters;
18. Compile lists of most-suitable candidates by assessing their CVs, notes, portfolios, and references, while ensuring that efficiency is achieved in each step of the recruitment process for successful candidates;
19. Perform administrative duties and continuous improvement projects as required to support the wider people team;
20. Monitor the Recruitment Inbox and associated sites/career pages;
21. Keep on top of administration and tracking applicants’ progress throughout the recruitment process;
22. Manage the administrative aspects of Safe Places recruitment processes;
23. Prepare packs and equipment for any tests as part of the selection process;
24. Provide reports on recruitment activity where needed and requested;
25. Keep up to date with employment legislation and the latest recruitment trends;
26. Be responsible for complying with the Safe Places Health and Safety Management Policy and associated procedures with Safe Places in complying with its legal duties;
27. Other duties as required.
Pay and Terms and Conditions
Salary: £37,000.00 per year.
Hours: Monday to Friday – 9 am to 5 pm (occasional out of hours work but this will be treated as TOIL).
Holidays: 33 days per year including bank holidays.
Probation: You will serve a probationary period of six months. This may be extended if considered appropriate.
Waiting List: A waiting list may be compiled for any similar fixed-term or permanent vacancies that arise in the next 12 months.
The Recruitment Specialist will be required to travel to head office at the request of the leadership team and or board. There may be a need to travel to all nations within the United Kingdom and Republic of Ireland (travel to these areas will be paid).
Canvassing, either directly or indirectly, will be an absolute disqualification. We will review this Job Description and it may include any other duties and responsibilities, as determined in consultation with the job holder. We do not intend to be rigid and inflexible but rather to provide guidelines within which the job holder works.
Records Management
All Safe Places for Children employees are legally responsible for all records held, created, or used as part of their business within Safe Places for Children, including client, corporate and administrative records whether paper-based or electronic and including emails. Safe Places expects all staff members to protect all associated data with regards to our line of work in a confidential and secure manner.
Staff members have a responsibility to report any breaches, issues, or concerns about data protection through to Safe Places Data Protection Officer or their Supervisor. Staff members are to operate and manage data in line with the organization’s policies, processes, and procedures. Staff members are to be aware and function in a process that meets legal requirements stipulated in the Data Protection Act 2018 (DPA).

Qualification and Experience
1. Ten years of experience in a talent acquisition, recruitment or similar role OR Ten years management experience, which includes five years specialised recruitment.
2. Bachelor’s degree (or equivalent) in a relevant discipline.
