Job overview
The Division of Surgery covers the following specialties – Anaesthetics, Trauma and Orthopaedic, General Surgery, Gynaecology, Pain Management, Urology, ENT. The post holder will provide an efficient, effective and comprehensive clerical and administrative support to the Surgical Ambulatory Care Unit.
Main duties of the job
1. To provide a high quality reception service, meet and greet patients demonstrating optimal customer service skills, addressing patient’s queries and providing information within your remit or seeking advice and guidance as necessary.
2. To manage incoming calls and receiving information via other sources from patients, relatives and other members of the trust team, managing, documenting and communicating appropriately to support in the management of the department and patient pathways.
3. Handling, maintaining and tracking files and/or patient records accurately, confidentially and sensitively according to approved organisation and governance standards.
4. Receiving hard copy and electronic referrals, inputting data to patient information systems accurately and timely in accordance with procedures.
5. Liaise with other members of the clinical and operational team regarding patient queries or scheduling issues.
6. Ensure all cancellations are managed effectively in line with the trust access policy and electronic pathways are updated appropriately.
7. Prepare patient records and information in advance, ensuring all medical notes are available and tracked in and out of the department.
8. Admit and discharge patients in an effective and timely manner.
9. Planning, organising and prioritising own workload whilst accepting direction and delegation from the Ward sister, Care Group Support and Care Group Managers.
10. Providing and receiving routine information as assigned to support colleagues, clinicians, patients and other departments and clients.
11. Requesting necessary items, information or services from other departments.
12. Maintaining confidentiality and adhering to all organisational policies relating to the job.
13. Discussing with the Senior Sister any suggestions for service improvement based on experiences within the different specialties.
14. Photocopying, faxing and printing as appropriate to the job.
15. Maintenance and management of specialties’ filing systems.
16. Handling of post.
17. Use of computer applications and all relevant databases as necessary and appropriate for the job.
18. Respond to prioritised work in appropriate order to ensure work is completed within agreed timescales.
19. Supervise and support junior or new members of the team Non-Clinical.
20. Supporting registered nursing staffs in ensuring communication systems meet the needs of patients, carers and staff.
21. Ensure that all areas within the department are clean and tidy.
22. Ensure that adequate stock levels are maintained as designated by department manager.
23. Receive, check and appropriately store deliveries to the unit.

Knowledge
* Must demonstrate a knowledge of keyboard skills.
* Must demonstrate good communication and interpersonal skills.

* Must be able to demonstrate an understanding of the principle of effective filing system.
OTHER
* Must be able to demonstrate an understanding of the employee’s responsibilities in relation to the Health & Safety at Work Act.
