We have an exciting opportunity for a proactive, confident and self-motivated Receptionist to join our Facilities Management Team.
Based at our Head Office, you will be managing the reception desk and representing the business by maintaining the efficiency of this central function. This is an ideal opportunity to join a fast-paced environment, ensuring the business operations runs smoothly and efficiently and supporting the office of 850+ people.
What you'll do
1. Managing the reception desk, greeting visitors and notifying the appropriate stakeholder of their arrival
2. Managing internal and external queries via telephone, email and in person
3. Coordinating incoming and outgoing post and deliveries
4. Maintain and manage meeting rooms
5. Responsible for maintaining office security
6. Ensuring compliance of health and safety processes
7. Organise, manage and monitor repairs with in-house maintenance team
8. Liaising with internal and external stakeholders for business planning
9. Responsible for raising purchase orders and processing invoices
10. Ad-hoc responsibility and general office management of facilities
What you'll need
11. Proven receptionist/secretarial/admin experience is essential
12. A strong multitasker with the ability to prioritise and work independently
13. Strong computer skills including Word and Excel
14. Excellent written and spoken English
15. Fast and flawless typing skills
16. Great numeracy skills and a keen eye for detail
17. Outstanding organisation and confidence communicating at all levels
18. German language and or additional languages are desirable but not essential
