Terberg DTS UK is looking for a Senior Delivery Co-ordinator to join our Contracts and Delivery team.
Location: Elland, Halifax
What is the job role?
To support, prepare, manage and be responsible for the successful and effective delivery of specialist sale and rental equipment. Through the provision of excellent and efficient customer service and communication to proactively build and develop relationships with both internal and external customers and suppliers. To oversee and develop ongoing processes, inclusive of new and used equipment availability, customer capital sale invoicing position, supplier payments and outstanding queries. Support Delivery team & external Sales team through delivery process. Complete and deliver weekly/monthly sales reports to document departmental progress as necessary. Follow and proactively manage the import/export processes. To liaise with wider Terberg Group companies to ensure timely & effective deliveries of new equipment.
Requirements and what we are looking for
* To provide support to key internal customers:
Rental, Contract & Sales Operations Manager
Head of Sales (Ports & Logistics and Distribution)
Head of Rental & Special Products (Joint Managing Director)
* Support delivery team through current processes.
* Support external sales team through delivery process.
* Communicate with delivery team through quotation, order and delivery process:
Manage shipment of new vehicles and internal timelines.
Establish effect communication with the Delivery team to ensure prompt invoicing of capital sales.
Oversee import/export process.
Interact with Sales & Delivery Administrator to make sure all information held in the Delivery Schedule is up to date and correct.
* Organise new equipment allocations and ongoing availability projection.
* Be responsible for new equipment ordering – ensuring excellent attention to detail & time management.
Ensure factory order confirmations are received and appropriate internal sign off/authorisation is obtained.
* Oversee customer capital sale invoicing position, supplier payments and outstanding queries.
* Communicate and work closely with the Workshop and Transport teams to ensure equipment is ready, deliveries are completed in a timely manner and excellent customer service is provided.
* Maintain awareness of ‘Work in Progress’, provide support to ensure queries are closed off and do not become overdue. Proactively liaise with other departments to ensure this is completed before required dates.
* Maintain awareness of vehicle buy-back / purchases, develop and ensure best practice processes are followed.
* Be responsible for the timely submission of sales monthly/weekly figures to the Rental, Contracts & Sales Operations Manager.
* To be responsible for Quality targets, maintain accurate storage of all customer data and vehicle information, including manual/electronic files and relevant systems updated (LIST, VPS and Super Office).
* Manage and support the organisation of special vehicle demonstrations with existing, new and potential customers.
* Conduct monthly one-to-ones with Delivery office team to ensure outstanding customer service is achieved and all administration is completed in a timely manner.
Creation of accurate purchase orders.
Ensure customer order confirmations and vehicle specifications are amended with the supplier/DTS workshop accordingly (scope of works) as necessary.
Create accurate invoices for new and used equipment accordingly.
Funds received on time as per agreed Payment Terms.
Arranging transport and complete delivery paperwork, ensuring communicated with relevant people.
Obtain signed vehicle certificates of acceptance.
Undertake purchase administration of non-factory vehicles as required.
Liaise with Accounts to ensure that new customer accounts are setup in a timely manner.
Overseeing of accurate stock-counts on site.
