Works with audio translation machines Involves manual handling activities Job Purpose: To undertake extensive and thorough secretarial support, including medical audio/copy typing duties, operation notes and letters, discharge summaries and other official correspondence, if required. To manage waiting lists, as well as providing an effective and efficient Support Medical Secretarial Service to the Clinical Nurses in relation to their clinical duties. To work as a team with the countywide administrative staff, to support day to day working of the Rheumatology Team. To ensure that appointments are booked and monitored to achieve the National 18-week Referral to Treatment (RTT) target. The post holder will assist the departmental Senior Medical Secretaries and provide a full secretarial service for the Rheumatology clinicians. General administrative and telephone duties. Key Duties: To undertake medical audio/copy typing duties, including outpatient letters to General Practitioners, operation notes and letters, discharge summaries and other official correspondence, if required. To obtain from GPs/other departments test results prior to admission and information for attending the Day Case unit. To accept enquiries from clinicians, GPs, wider health service professionals, other hospitals, voluntary agencies, patients and relatives. To deal with such enquires, or refer back to the Senior Medical Secretaries. To validate and adhere to the RTT (referral to treatment) targets. To ensure patient details are up to date, including patients pathway information. To participate in the use of PAS systems to establish patient information is kept as accurate as possible and produce patient documentation as required. To assist clinicians and nursing staff in obtaining results and prescriptions for Home Care. Liaise with clinical staff, to ensure that a quality service is provided to patients and to ensure the department is kept fully informed of general messages, issues, or patient concerns. In exceptional circumstances, support the appointments team with cancelling patients by telephone at short notice. To undertake training to become familiar with and competent in current health records, validation and departmental procedures and practices. To provide an effective, courteous, high quality patient access service. This will include recording data and maintaining data quality on manual and computerised systems, in accordance with agreed policies and procedures. To participate in the collection and transmission of information to enable the Directorate to meet its objectives. To assist with the sorting of day to day incoming mail, taking action or refer back to the senior medical secretaries. To assist in providing cover for other secretaries in the Rheumatology team in times of planned or unplanned absence, to ensure continuity of service. To produce header sheets for patients hospital notes and send to scanning. In times of absence - To arrange appointments and ensure that all sessions are fully utilised for Joint Injection Clinics, Ultrasound scans and Day Case bookings, ensuring that waiting times adhere to RTT policy. In times of absence - To ensure patients are added to the Day Case and joint injection waiting list effectively. In times of absence - To ensure that clinic booking rules are up to date and adhered to when dealing with referrals and making outpatient or Day Case appointments. In times of absence - To complete administrative tasks associated with Day Case entries, such as inputting priority codes, validation and ensuring repeat dates are added correctly. To carry out any other duties, within the grade as requested by other members of the team and Directorate Support Officer and Directorate Manager. The purpose of this post should remain constant, but the duties and responsibilities may vary over time within the overall role and level of the post. The post holder may from time to time be asked to undertake other reasonable duties. Any such changes will be made in discussion with the post holder in the light of service needs.
