We are recruiting a Contract Support Coordinator to join our Team in Bromley, London.\n\nKey Responsibilities\n \nQuality\n\nActively identify/implement innovation across the contract to enhance performance and continue to meet client\nexpectations.\n\nAssist the onsite team with financials and reporting.\n\nEnsure all account KPI's are met.\n \nPeople and Development\n\nPromote and maintain CBRE culture throughout teams.\n\nEnsure all site team training courses are booked in prior to courses running out.\n\nReview and process timecards weekly through MyTime, including a project overtime tracker to high accuracy.\n\nReview and accept activities weekly on MyTime.\n\nCommunicate effectively and build/maintain relationships at all levels with internal and external customers\n\nAnswer calls and emails in a professional and timely manner.\n\nAttend and participate in any relevant training courses.\n\nAttend regular role specific meetings in order to share best practice.\n \nContract\n\nIssue orders for call outs, maintenance visits, delivery of materials, Extra Works within contracted SLAs.\n\nEnsure use of Preferred Suppliers is maximised and best practice "better buying" is in place.\n\nFamiliar with daily operations and the specific scope of the contract e.g. which services are covered and which\nare chargeable.\n\nKnow the financial model of the contract and be able to determine how the financials should be ran\n \nFinance\n\nEnsure integrity of financial transactions for contract.\n\nAttend and actively participate in weekly finance meeting with Account/Engineering Manager and Customers,\nbuilding Customer relationships.\n\nReview and raise quotations approved from the Account/Engineering Manager, keeping record and sending for\nCustomer approval in a timely manner.\n\nMaintain the EW Tracker / Webquote.\n\nAttend a weekly "Works in Progress" meeting with the onsite Facilities Manager.\n\nRaise accurate purchase orders for Sub-Contractor call outs, materials/non-chargeable materials and extra\nworks, maintaining records in a timely manner.\n\nRaise Maintenance Purchase Orders and liaise with the site Chief Engineer in preparation for these Purchase\nOrders and for them to go out prior to contracts ending.\n\nSend weekly WIP chases ensuring prompt, detailed responses from the team and updates are documented.\n\nDaily review and process sub-contractor invoices via the unmatched and referral reports ensuring swift supplier\ninvoice payments.\n\nRaise sales invoices (complete billing) weekly in line with contract plan, meeting monthly forecast at the correct\nmargin.\n\nRaise yearly maintenance orders.\n\nRun and review open purchase order report (OPO) weekly, chase as required and implement updates as\nnecessary.\n\nRun and review Aged WIP Report weekly, chase as required and implement updates as necessary.\n\nCompletion of weekly / monthly reports sent from the EMEA Lead Contract Support in a timely manner.\n\nRaising own reports on finance system when required.\n\nReceipting of purchase order lines.\n\nForecasting and WIP chases.\n\nEnsuring correct submission of Overtime for the site teams.\n\nManagement of 2 x finance systems.\n\nCommunicate with the building landlord and facilitate cross-charges between accounts.\n \nDimensions\n\nEmployed within Bank of America Services in a strategically important & highly prestigious account\n\nInterface with tenants and clients at all levels.\n\nIntegrate fully with all different CBRE departments to ensure seamless delivery of services\n\nAccountable to Leader and the accounts management team.\n\nThe post holder does not have any directly reporting staff\n\nThis post carries no direct budgetary responsibility\n\nUnderstand and demonstrate CBRE RISE values\n \nPersonal Experience / Qualifications / Skills\n\nA good basic education is essential, with good written and spoken English and basic Mathematics skills\n\nCustomer Service skills are essential to this role\n\nAttention to detail is a must\n\nGood verbal communication skills\n\nResponsiveness is a must\n\nCommitted to the delivery of excellent customer service\n\nIt is essential staff are self-motivated and promote a "Can do" customer attitude at all times\n \nPersonal Attributes\n\nAble to work on their own initiative\n\nGood customer liaison skills along with a front of the house mentality.\n\nHave a can-do attitude and flexible approach\n \nAdditional Details:\n \nFunctionally reports to the Lead Contract Support\nThis role has no direct reports although working collaboration with Finance, Procurement, Facilities Management,\nEngineering teams alongside our cleaning and fabric vendors.\nThis position also helps with cover on a weekly basis for our sites in Camberley and Chester.\n \nAbout CBRE Global Workplace Solutions:\n \nAs one of CBRE's core global businesses, Global Workplace Solutions (GWS) provides end-to-end services to occupier clients across the entire lifecycle of a building.
