An exciting opportunity has arisen for an Administrator to join the Offender Health Directorate working at HMP Fosse Way. HMP Fosse is a Category C Resettlement Prison opened in May 2023.
HMP Fosse Way houses 1,715 prisoners and focuses on the rehabilitation of offenders and their reintegration back into society. It consists of 7 House blocks across 4 floors. There is a dedicated healthcare suite located in the main building with additional multi-use rooms across the establishment including rooms for groups or 1-2-1's.
To work as part of a team providing secretarial, clerical and administrative support to the Healthcare team within HMP Fosse Way.

Main duties of the job
1. Input accurate data onto SystmOne ensuring timely and accurate reports are provided for the clinical matrons and Head of Healthcare.
2. Support the clinical team in the organising and facilitation of clinics and diaries, using SystmOne rota, ledgers and assignment to caseloads.
3. Booking and monitoring secondary care outpatient appointments and requests for diagnostic tests.
4. Liaison with sub-contractor services who provide healthcare provision within the detained estate regarding waiting lists, ledgers, and template management.
5. Processing of subject access requests in accordance with Data Protection Regulations and the GDPR.
6. Filing, photocopying, scanning and attaching documents into SystmOne.
7. The set up and maintenance of databases.
8. Attend meetings as a minute taker and responsibility for the production of agenda, minutes, action tracker.
9. Use of multiple software packages for example, SystmOne, Microsoft Office, Adobe Acrobat Pro 2020.

Job responsibilities
The Offender Health Directorate is one of the largest and most successful providers of prison healthcare in the UK. The Directorate provides physical, mental health and substance misuse healthcare services in prisons across the East Midlands, Lincolnshire & Leicestershire.
Working in an administrative team within a prison establishment as part of the Offender Health Directorate. Ability to communicate with patients where there may be barriers to understanding, such as learning needs/language. Take appropriate action from messages received and ensure that all information is transmitted to relevant parties. Handling sensitive and sometimes distressing information appropriately, whilst maintaining patient and staff confidentiality.
Person Specification
Qualifications
* GCSE Maths and English A - C or equivalent
* NVQ Level II Business Administration or equivalent
Experience
* Experience of working in an office environment
* An awareness of working in a secure setting
* An awareness of Clinical Administrative Systems
Knowledge
* Knowledge of IT Systems
* Good understanding of confidentiality
* Ability to prioritise own work load
* Awareness of SystmOne
Skills
* Excellent telephone manner
