We are looking for an enthusiastic, motivated person to join our nurse-led, trust-wide service in Tissue Viability. The post holder will provide full secretarial support to the Tissue Viability Service, including minute taking, assisting in preparing reports, organising educational activities, supporting audits, and managing referrals to the Tissue Viability service.
The post holder will deal with telephone enquiries and emails from wards, other departments, and external contacts, receive sensitive information daily, action queries, and redirect calls as appropriate. They must be able to prioritise their workload, work independently, and communicate effectively with all levels of staff.
The post holder will be responsible for booking rooms, organising meetings (both face-to-face and via Microsoft Teams), distributing agendas, minutes, and booking representatives for meetings as appropriate. A willingness to work on all Trust sites is essential.
Main duties of the job
1. Prepare letters, emails, reports, and minutes of meetings; compile daily clinical spreadsheet.
2. Provide excellent skills in receiving and dealing with telephone, email & written enquiries; accurately record messages and refer them as appropriate.
3. Arrange meetings and appointments both face-to-face and online.
4. Maintain diaries as required.
5. Communicate sympathetically and sensitively, including dealing with difficult situations.
6. Attend relevant meetings and contribute to effective teamwork.
7. Make decisions and take actions within the team for routine enquiries.
8. Organise day-to-day tasks showing an ability to prioritise to achieve set timescales.
9. Book and monitor room bookings across multiple sites.
10. Work collaboratively as part of an integrated team.
11. Maintain stock control of stationary and clinical supplies.
12. Participate in the induction and training of new team members.
13. Accurately input and access data using all Trust IT systems.
14. Ensure information is kept up to date and confidential documents are destroyed in line with Trust policy.
15. Provide cover across all sites as required.

Person Specification
Qualifications
* Good General Education (e.g. GCSE English and Maths A-C) GCSE Level 9-4
* Business Administration NVQ level 3 or equivalent experience in a clerical environment
Experience
* Experience of dealing with the Public/Customer service experience
* Experience of working with a range of Microsoft Office packages (e.g. Word, Excel, and Outlook)
* Experience of using IT systems
