Project Team Administrator
Epsom, Surrey
Working: 8.30 - 17:00pm Monday to Friday
Salary up to £27,000 will consider part time and full time.
Responsibilities:
* Assist with coordination of various projects and activities the Operations Manager and Team Project Managers are working on.
* Provide full Administration Duties to allocated Work Stream.
* Prepare Site set up/Supervisor packs for each project.
* Creation of Project Files, electronic and paper version.
* Action daily alerts for each Work Stream's Information Channels and Cloud Common Data Environments e.g. BIW/ICON/My Property/Procure/4Projects/Aconex/Asite/Dalux.
* Maintain incoming and outgoing drawing register, copy, print and rack drawings as appropriate.
* Maintain document status register and comments schedule.
* Maintain Technical Submission schedule and folders.
* Maintain Request for Information schedule and folders.
* Risk assessments, method statements and distribution board charts.
* O&M manuals.
* NICEIC Test Certificate – type from draft.
* Upload specific audit documents following project completion to the Client Information Channel for review.
* Programme of Works Tracker, issue to team on a weekly basis.
* Organising Team meetings and send calendar invites.
* Attend and take minutes at project meetings where appropriate.
* Overflow calls and cover when required for Reception.
* Time sheet process.
* Holiday and sick leave cover for PTA’s.
* Any other operations team admin tasks as required.
* Assist with and provide overflow support for administrative duties for other group company departments e.g. Design, Reception, Estimating, Project Teams, Buying, Commercial, QA, H&S, Training etc.
* Read, understand and implement the Company Health and Safety Policy and QA at all times.
