Job Description
The Receptionist will be the first point of contact for clients and visitors, ensuring a welcoming and professional environment. This role involves a mix of receptionist and administrative duties, requiring at least two years of experience in a similar role. Proficiency in calendar and diary management, operating switchboards, and general administrative support is essential.
Key Responsibilities
* Client Interaction: Greet clients and visitors warmly, ensuring a professional reception experience. Handle enquiries in person, via telephone, and email in a courteous and efficient manner.
* Switchboard Operation: Manage incoming calls, directing them to the appropriate staff members or taking detailed messages as needed.
* Appointment Management: Oversee calendar and diary management, scheduling and confirming appointments for legal staff to ensure smooth operations.
* Administrative Support: Provide general administrative support, including scanning, mailing, photocopying, and preparing documents.
* File & Record Management: Organise and maintain physical and electronic filing systems, ensuring documents are accurate, up-to-date, and easily accessible.
* Office Coordination: Maintain the reception area and office supplies, ensuring the environment is clean, organised, and well-stocked.
* Technology Oversight: Assist with maintaining office equipment such as computers, printers, and telephones, arranging for repairs or upgrades as necessary.
* Customer Service: Provide a high level of service to clients, addressing their needs and concerns in a professional manner.
* Compliance Support: Assist with maintaining records and compliance documentation as required.
Skills & Qualifications
* Experience: Minimum of two years’ experience in a similar receptionist or administrative role (experience in a law firm is an advantage but not essential).
* Language Skills: Proficiency in English is required. Turkish language skills are preferred but not essential.
* Diary Management: Strong calendar and diary management skills, with the ability to handle multiple schedules effectively.
* Switchboard Skills: Proficient in operating switchboards and managing call traffic efficiently.
* Communication Skills: Excellent written and verbal communication skills, with a customer-focused approach.
* Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, and Outlook).
* Organisational Skills: Strong organisational skills with the ability to prioritise tasks and multitask effectively.
* Professionalism: A professional demeanour, high attention to detail, and the ability to handle confidential information with discretion.

Working Hours:
This is a full-time position based at our Enfield (Ponders End) office, working Monday to Friday, 9:30 AM – 5:30 PM. Candidates based in North London will be Preferred.
