We are currently looking for an Export Documentation Specialist to join our team in our award-winning business in our office in Ayr. This position is based onsite and is permanent.

We are looking for a detail-oriented Export Documentation Specialist to manage the preparation, verification, and submission of export documentation to ensure smooth international shipments and regulatory compliance.
What you’ll be doing:
1. Creating and issuing commercial invoices for al export shipments.
2. Ensuring that all export paperwork is accurate, complete and aligned with shipping and customs regulations.
3. Coordinating the preparation of packing lists, bills of lading and proforma invoices as required.
4. Managing the approval process for pick lists and product expiries before submitting orders for shipment.
5. Tracking and maintaining records of all export documentation for audit and compliance purposes.
6. Preparing and submitting veterinary certificates, manufacturer declarations and any required export documents.
7. Liaising with trade compliance to ensure compliance with international trade regulations, customs law and documentation requirements.
8. Liaising with customs brokers, freight forwarders and regulatory authorities to resolve documentation errors.
9. Updating and maintaining export order trackers, ensuring orders are processed in a timely manner.
10. Following up on staged shipments, checking for missing approvals, documentations and shipping costs.
11. Communicating with logistics teams, order management and 3PL providers to ensure all required documentation is submitted before shipment.
12. Sending picking lists and commercial invoices to internal sites and 3PL partners once an order is ready for shipment.
13. Identifying and implementing best practices for accuracy and efficiency.
14. Ensuring shipping records are maintained for audit compliance.
15. Assisting in logistics process optimization to improve document flow and reduce delays.
About you:
16. Previous experience in export documentation, international shipping or trade compliance.
17. Strong knowledge of commercial invoices, customs regulations and export paperwork requirements.
18. Proficiency in ERP, WMS and export tracking systems.
19. Experience working with 3PL providers, customs brokers and freight forwarders.
20. High attention to detail and ability to identify and resolve document discrepancies.
