To provide comprehensive administrative and secretarial support to the Service. The post holder will be responsible for maintaining records both manually and on a computerized system and demonstrate the ability to handle sensitive and confidential patient information, i.e., clinical letters, investigations, and results. Provide cover in the event of other administrative staff being absent. The role may involve travelling to and working across other hospital sites in support of service delivery.
Main duties of the job
To act as first point of contact for callers to the Clinical Musculoskeletal Assessment and Treatment Service in a confidential, efficient and timely manner exercising tact, diplomacy, and sympathy when dealing with patients and their relatives.
To provide an accurate and efficient administration service for the CMATS team through the provision of the following: incoming/outgoing telephone calls, emails, audio-typing, diary maintenance, incoming and outgoing mail, arranging meetings.
Type confidential highly sensitive letters/medical reports to a high degree of accuracy and ensure prompt distribution to relevant parties. Communicate effectively and establish a good working relationship with a wide range of people including medical staff, senior managers, patients, and external agencies, i.e., GP Surgeries/other Health Boards.
To act as a role model by adopting and demonstrating the Values of the organisation through own behaviour and to actively promote the Values across the Organisation.
Good working knowledge of Microsoft packages and other electronic systems (databases).
