Job overview
As a Health & Justice Procurement Admin, the post holder will provide and support the Health and Justice Procurement, Workforce and Market Development Team with a wide range of administrative and computer skills as well as maintaining a range of knowledge and understanding of procedures, protocols and functions.
This post holder is expected to use their own initiative and be able to work unsupervised, undertaking specific project work as necessary. The post holder must be able to plan and manage a range of complex duties, organise their work to meet deadlines and respond professionally to enquiries both internal and external to the organisation.
The post holder will support the team by providing administrative support and liaising with stakeholders and partners to deliver the programme of work.
Main duties of the job
* Provide specialist secretarial/administration support and advice to the team to support a number of initiatives.
* Taking telephone calls for others in the department and using initiative when dealing with calls and messages.
* Undertaking administrative duties such as photocopying, faxing, and sorting and prioritising mail and e-mail.
* Managing the electronic diary for the team, including arranging and changing appointments.
* Ensure all urgent and/or confidential communications are received and distributed in a timely manner.
* Organising and planning events as directed, ensuring the coordination and delivery of all materials and resources.
* Inputting, monitoring, and checking data for ongoing programmes and projects.
* Acting as a point of contact for teams, effectively dealing with complex queries from stakeholders.

* Supplying relevant information for financial management, supporting the team by checking and sending invoices for payment.
* Responsible for ordering stationery and consumables for the department.
* Developing and maintaining effective electronic and paper filing systems.
* Preparing agendas, taking minutes, and distributing notes of meetings.
* Working with other administrators/PA’s within the Regional Team to provide effective communication.
* Providing guidance and advice on relevant policies and procedures.
* Participating in Research and Development activities as directed.
* Supporting the management and sharing of national, regional reports and updates.
Person specification
Qualifications
* Educated to NVQ4 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.
Knowledge and experience
* Significant administrative/secretarial experience including initiating and maintaining office systems.
* Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint, and Access.
Skills and capabilities
