Responsibilities
* Deliver a full range of administrative functions, including collecting, logging, and distributing incoming and outgoing post; word processing; filing; recording systems; and handling telephone enquiries/complaints with sensitivity, especially when dealing with vulnerable individuals.
* Manage all enquiries, including overseeing mailboxes across the Service, from customers and partners, taking ownership of queries and resolving them.
* Maintain and input data into various databases and spreadsheets to support the Service in completing government statistical returns and monitoring performance.
* Assist in organising consultation events and adhoc meetings, including sourcing venues, taking minutes, and arranging refreshments.
* Monitor complaints using the Corporate Computerised Complaints System, including logging complaints, responses, and assigning them to officers within the Service.
* Administer petty cash payments following Audit Regulations.
* Order and maintain stationery supplies for the Service.
* Use the Council’s Financial Management System to raise orders and receipt goods.
* Ensure adequate stocks of advisory leaflets and housing application forms are available for customer service.
* Post or email customer satisfaction surveys, conduct surveys via telephone or electronic means, and input data into spreadsheets or databases.
* Protect and manage information securely, report breaches or suspected breaches in line with Council policies.
