We are seeking a volunteer Administrator to work on Thursday
* To support Hospice staff and volunteers in the provision of an efficient and effective administration service to all Hospice users.
* Contributing to the work of a multi-professional team ensuring that an efficient, effective and comprehensive palliative care service is provided by the Hospice.
Main duties:
* In accordance with Hospice policies and procedures, and as directed, assist with providing a range of administrative tasks, ensuring that all resources are used for the benefit of patients and their families/carers.
* Take direction from Hospice staff, and work in a flexible and mutually respectful manner alongside others within Hospice teams.
* Assist with filing, photocopying and other administrative duties, ensuring at all times a courteous and helpful manner is maintained.
* Update records, both manual and computerised, ensuring all systems are maintained accurately and efficiently.
* To assist with sorting sourcing and labelling resources, including obtaining resources as requested.
* Assist with monitoring and ordering of equipment, ensuring items are replenished or returned as directed.
Communication:
* Promote close working relationships and good communication links with colleagues at all levels throughout the Hospice.
* Liaise with Hospice departments and respond to enquiries from, and maintain good relations with internal and external contacts at all levels.
* Support other members of the staff and volunteer teams.
Training and development:
· Attend all appropriate statutory and mandatory training and undertake training and development as identified through individual supportive discussions with the line manager.
Health and safety:
* To take reasonable care of the health and safety of yourself and others that may be affected by what you do while at the Hospice, and to co-operate in the implementation of the Hospice’s Health and Safety Policy.
General:
* To be aware of and comply with all Hospice and Statutory Policies and Procedures as appropriate.
* To work as a member of the Hospice team, to foster the team’s caring mission and to have commitment to the cause of helping patients and their families/carers.
* At all times to behave in a manner befitting the role and the professional dignity of the Hospice and ensure that the Hospice is positively represented to the public and other stakeholders.
* To maintain an appropriate standard of confidentiality. Any disclosure of confidential information (including personal information kept on computer or other media) made unlawfully outside the proper course of duty will be treated as a serious disciplinary offence.
Essential skills:
* Previous administrative experience across a broad range of office-based activities.
* Excellent typing and computer literacy skills, including proficiency in Microsoft Word, Excel, Access, and email.
* Good organisational skills
* Experience of setting up and maintaining record keeping systems.
* Ability to work in a busy environment in a calm, friendly and enthusiastic manner.
* Excellent communication skills and ability to deal with visitors, patients, families and carers in a sensitive and caring manner.
* A “people person”, who is able to work as part of a team,
* Ability to positively promote the ethos of the Hospice and the work it does in the community.
* Ability to undertake moving and handling tasks for which training will be given.
* A Standard DBS will be required for this role, the Hospice will facilitate this.
Desirable skills:
* Previous voluntary sector experience, preferably in the healthcare sector
* A recognised admin/secretarial qualification
