Job Description Job Title: Plant Administrator / Maintenance Scheduler Location: [Dunstable Borders (close to Markyate/Hemel)– Office-based role within an industrial environment Company Overview: Our company is one of the largest suppliers of assets to the telecommunications industry, providing critical support and solutions to a wide range of clients. We are seeking a skilled and organised Plant Administrator / Maintenance Scheduler to support our growing operations. As part of a dedicated team, you will play a key role in maintaining the smooth scheduling of maintenance and reactive work, contributing to the successful management of our assets. Role Overview: The Plant Administrator / Maintenance Scheduler will support the current scheduling process, helping manage an expanding workload as the company takes on new business. This role is essential in ensuring that compliance checks and maintenance schedules are adhered to, and that the high volume of work is efficiently managed across a nationwide team of engineers and contractors. Key Responsibilities: • Scheduling Compliance and Maintenance Work: o Utilise the BigChange system to manage scheduled compliance checks (e.g., 3/6/12 monthly checks) for assets. o Maintain a calendar of upcoming checks and liaise with clients to confirm available dates for required work. o Schedule the necessary work, ensuring it is completed in a timely manner in accordance with client requirements. • Reactive Work Management: o Manage and schedule reactive maintenance tasks as logged by clients through the BigChange system. o Coordinate with clients to confirm availability for reactive jobs and book in appointments. o Ensure that engineers and contractors are allocated to the jobs, with all necessary resources and information provided. • Team Coordination and Tracking: o Schedule and coordinate work for a team of 4 direct engineers and 20-30 contractors nationwide. o Maintain regular communication with clients, engineers, and contractors to track job progress and address any issues or delays. o Ensure that up to 100 jobs per day (approximately 1400 jobs per month) are effectively scheduled, managed, and tracked. o Keep accurate records of work completed, job statuses, and client interactions. • Administrative Support: o Provide administrative support to ensure the smooth operation of the maintenance scheduling process. o Maintain organised records and schedules, updating the system with job statuses and tracking any changes or updates. o Work closely with senior team members to identify areas for improvement in the scheduling process. Key Skills & Experience: • Strong organisational skills, with the ability to manage a high volume of work and multiple tasks simultaneously. • Excellent IT skills, with proficiency in using scheduling and asset management systems (experience with BigChange or similar systems is a plus). • Experience in a fast-paced administrative or scheduling role, ideally within an industrial or technical environment. • Ability to work effectively under pressure, ensuring that all tasks are completed to deadline. • Strong communication skills, both written and verbal, with the ability to liaise with clients, engineers, and contractors. • A proactive approach to problem-solving and the ability to manage reactive work efficiently. • Ability to work independently and as part of a team in a busy office environment.
