Job overview
South Yorkshire and Bassetlaw Pathology (SYBP) is on a transformational journey that will fully integrate our existing pathology services, providing the best possible service for patients and clinicians across the Integrated Care System. This role sits within the South Yorkshire and Bassetlaw Histopathology Admin Team who will provide the senior management of the administrative and operational tracking of Histopathology and Diagnostic Cytology samples and prepare and plan rotas for the Histopathologists.
12 month fixed term/ secondment. The post will require travel across SYBP.
Main duties of the job
* Provides a comprehensive administrative service to the medical and administration staff within Histopathology for South Yorkshire and Bassetlaw Pathology.
* To provide the senior management of the administrative and operational tracking process of Histopathology and Diagnostic Cytology samples.
* To provide the preparation of rotas and management administrative tasks supporting the creating, collation and completion of rotas as required.
* Allocate cases or tasks based on the expertise of individual Histopathologists, ensuring complex cases are reviewed by the most qualified team members.
* Plan and pre-empt rota gaps and ensure cover, as necessary.
* To collaborate with laboratory, histology administrative and Consultant staff as well as the site cancer MDT coordinators and offer dedicated support to both clinical and non-clinical teams.
* Ensuring compliance with regulatory standards and quality assurance measures and maintaining documentation of Histopathology cases.

Person specification
Education and Qualifications
* Educated to degree level / equivalent or extensive demonstrable experience in service at team leadership level
* GCSE (or equivalent) in English and Maths at grade C/4 or above or equivalent
* ECDL or evidence of short courses in all core Microsoft Office Applications (Outlook, Word, PowerPoint, Excel)
* Evidence of continued CPD including relevant courses with regards to leadership, management and finance
* Project Management Qualification or experience in projects coordination
Experience
* In-depth team leading experience including knowledge of secretarial and administration processes, service and capacity planning, and people leadership/management
* Experience of establishing, designing, and implementing successful administrative projects across services and systems in timely matter with evidence of target delivery
* Experience in managing staff schedules, including handling leave requests and covering absences
* Experience of meeting objectives and deadlines in a fast-paced environment
* Experience of producing documents to a high standard of presentation with good accuracy
* Experience of working with complex IT systems
* Experience of planning, allocating and prioritising a team’s workload
* Experience of training & developing others
* Experience of working in a confidential environment
* Experience with NHS/Healthcare software systems
* Familiarity with histopathology workflows, including case reporting, MDT meetings, and on-call systems
Skills and Knowledge
* In depth working knowledge of Microsoft Office package (word, excel, access etc)
* Ability to create and manage complex rotas efficiently
* Proficiency in using software tools for rota management, spreadsheets, and other administrative systems
* Excellent spreadsheet and analytical skills manipulating complex data and presenting to a range of audiences
* Evidence of strong time management, adaptability to change, and efficient methodical handling of workload priorities
* Ability to adapt plans quickly in response to unexpected changes (e.g., staff absences)
* Able to work in a methodical & analytical manner
* Ability to communicate and build relationships, work under pressure, and contribute to a high-quality service
* Experience of effective conflict resolution and decision-making skills with a calm approach to changing work situations
